The Eight Branches Teaching Clinic is offering an exciting opportunity at the forefront of healthcare and education for a dedicated and proactive Administrator with superior customer service skills. The Clinic Administrator will be responsible for the customer experience of our Teaching Clinic practice by attending clients both in person and over the phone. The new hire will work all Teaching Clinic hours (which are subject to change every semester).
Job Responsibilities:
- Customer Experience
- Greet every visitor of the clinic with professional attire and appearance
- Maintain a friendly, helpful and solution-focused communication at all times
- Support the coordination of patient care and students
- Provide feedback to the Team on Student performance and issues
- Manage the daily schedule and coordinate the flow of patients within the clinic
- Manage phone lines and support Member relations
- Provide detailed information on the different services offered at the clinic
- Daily Operations
- Coordinate the scheduling of appointments for acupuncture and massage
- Coordinate the signup process of new Members by providing all forms needed and making sure they are returned complete
- Call leads obtained through our marketing efforts daily
- Coordinate appointment reminders and payment deadlines
- Liaise with consultants for bookings, follow-ups and invoicing
- Ensure that linen inventory is sufficient for each clinic
- Responsible for taking garbage, recycle and compost outside at the end of each shift
- Responsible for sanitizing common areas at the end of each shift
- Clinic Support
- Preparation and maintenance of patient charts, including the orderly filing of all results and correspondences received
- Review of telephone, facsimile, surface mail and email messages including charting and physician notification
- Forwards information to other physicians respecting patient confidentiality and privacy including retrieval of release of information documents as necessary
- Track receipt and work hours and submit to the accountant
- Participates in other miscellaneous administrative duties as assigned
- Check all rooms for cleanliness and assure a pleasant environment is maintained at all times
Job Type: Part-time
Pay: $18.00-$19.00 per hour
Expected hours: 10 – 30 per week
