The Scheduling Coordinator is responsible for administrative and service responsibilities such as staff scheduling, tracking, and maintaining accurate client records, and problem solving with clients – all of which contribute significantly to the efficient and effective functioning of the department. This role involves interacting with clients and staff in a fast-paced environment. There is intensive telephone and computer usage with the expectation of always maintaining a warm and positive demeanor.
- Assist with processing new client referrals and assessments.
- Schedule and track client visits and assessments.
- Ensure that clients are receiving responsive care, which is personalized, individualized and of the highest quality according to SPRINT Senior Care’s Continuous Quality Improvement (CQI) concepts.
- Ensure follow up for enquiries with internal and external stakeholders.
- Return/initiate calls from various sources regarding service provision.
- Track, verify, receive, and enter specified information for client subsidies.
- Ensure that schedules match the service that is authorized for the client.
- Appropriately document client comments in Alayacare, advising the Manager as needed.
- Advise Manager of feedback regarding services and any concerns and compliments regarding service provision.
- Assist Manager with tasks, responsibilities and projects as assigned.
- Assist in implementation of program evaluation, quality and risk management activities of the program and agency.
- Represent SPRINT Senior Care positively and professionally in the community.
- Engage in regular supervision with the Manager.
- Adhere to all departmental and agency policies and procedures and ensure that the field staff do the same, as appropriate.
- Interpret SPRINT Senior Care services positively and effectively to the community.
- Undertake special tasks as assigned by the Manager and/or the Director
- Other duties as assigned
- Degree or College certificate in social services, gerontology, or administration.
- 1-2 years of recent comparable experience in a similar position.
- Demonstrated experience using a client/patient management system.
- Excellent communication, organizational, and time management skills.
- Must be able to quickly problem solve and prioritize phone calls.
- Must be proficient in using a computer with knowledge of Microsoft Office applications. Demonstrate strong Excel skills
- Excellent multitasking skills, including the ability to listen and type at the same time.
- Able to develop good interpersonal relationships with peers, other professionals, clients, and families.
- Ability to work cooperatively in a high-pressure team setting is essential.
- Satisfactory completion of the technical skills testing component is required.
