Job Title: Event Assistant
Job Summary
The Event Assistant will provide key support in planning, organizing, and executing a variety of events. This role is essential in ensuring that each event runs smoothly and meets client expectations. The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks simultaneously. Strong communication skills and a passion for event planning are essential.
Key Responsibilities
Event Preparation & Logistics
- Assist in the planning and coordination of events, including venue setup, equipment rental, and catering arrangements.
- Coordinate with vendors, suppliers, and partners to confirm logistics and ensure event timelines are adhered to.
- Help prepare and distribute event materials, such as programs, nametags, and seating arrangements.
- Oversee event setup and takedown to ensure that spaces are properly organized and presentable.
On-Site Support
- Provide day-of-event support, greeting attendees, assisting with registration, and directing guests as needed.
- Troubleshoot on-site issues and coordinate with vendors to resolve any last-minute challenges.
- Ensure that event spaces are clean, organized, and accessible throughout the event.
Client & Attendee Relations
- Act as a point of contact for event attendees, handling inquiries and providing information about event activities.
- Support event organizers in managing client expectations and ensuring client satisfaction throughout the event.
Administrative Support
- Manage event calendars, timelines, and task lists to ensure deadlines are met.
- Assist in post-event follow-up, including gathering attendee feedback, conducting evaluations, and documenting event outcomes.
- Track event expenses, process invoices, and maintain records of event budgets.
Skills, Knowledge and Expertise
- High school diploma or equivalent; bachelor’s degree in event management, hospitality, or a related field is a plus.
- Excellent organizational skills with a strong attention to detail.
- Ability to manage multiple tasks under tight deadlines.
- Strong interpersonal and communication skills, with a customer-service orientation.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with event management software is a plus.
