Position Purpose And Summary
The Executive Assistant for TWU Richmond (TWU-R) provides support and administrates a range of responsibilities for the Executive Director, TWU Richmond and the TWU Richmond leadership team. The Executive Assistant represents the University in a professional manner, oversees aspects of the external relations for TWU-R and represents the University in planning and delivery of events.
Key Areas of Accountability
Administrative Services
- P rovide superior administrative support to the Executive Director , TWU Richmond and TWU Richmond leadership team members .
- Anticipate and respond to daily and future needs in a timely manner . This includes scheduling meetings , arranging logistics , and ordering supplies as needed.
- Coordinate TWU-R departmental meetings including weekly staff meetings, monthly Community lunches, professional development trainings, retreats and workshops .
- M aintain current staff & faculty lists and databases as needed (e.g., GLOBAL SharePoint ) .
- Manage TWU Richmond master room calendar , including the classroom bookings for all classes and on-site events .
- Coordin ate the weekly TWU Richmond all campus newsletter .
Special Projects
- Provide leadership for various projects, doing research and preparing reports .
- Contribute to TWU-R specific marketing and communications project planning .
- Respond to evolving needs of TWU-R management team for strategic support, taking on short term assignments to bridge gaps as needed.
External Relations
- Support the Executive Director , TWU Richmond in the establishment and management of local and international partnership relationships.
- Organize and oversee execution of signature events to host guests .
- Research and/or prepare presentations ; gather necessary materials needed for networking opportunities or on-site meetings .
- Assist with preparing expense/mileage reimbursements for ongoing activities.
Rooms & Event Bookings
- Assist the Executive Director , TWU Richmond with arrangements for on-site rentals for guest groups. P repar e contracts, confirm logistics with the client and relay needs to the Director of Campus Operation s and other on-site staff as needed to ensure well-supported event s . Serves as primary point person for church groups renting space for Sunday worship services.
- Follow up with client s post event, confirming payment is processed , emailing thank you note s , and responding to feedback .

- Ability to work independently, manage time efficiently, and multitask during regular interruptions.
- Excellent skills with MS Office and other TWU databases (e.g. Jenzabar, Aqueduct, SharePoint).

Standards & Requirements
- Education: Post-secondary degree required.
- Experience: 1-3 years of senior executive support experience in a post-secondary institution or corporate office setting is desired, however, consideration will be given to recent university graduates with demonstrated ability.
