The Office Administrator’s role is to complement the Office Manager’s role of ensuring the smooth and efficient operation of our office environment. This part-time role includes a variety of administrative tasks, front desk responsibilities, and support for the office functions and events. The ideal candidate is organized, detail-oriented, works well in a dynamic and lively environment, and possesses excellent communication skills.
Hours of Operation: Must be available Monday – Friday 10:30AM – 3:30PM PST
DUTIES & RESPONSIBILIITES:
- Greet visitors and clients with warmth and professionalism, directing them to the appropriate personnel.
- Answer and manage incoming calls, emails, and inquiries promptly and courteously.
- Maintain a clean, organized, and welcoming reception area.
- Regularly clean and organize the kitchen and break areas, ensuring a pleasant environment.
- Stock and replenish beverages, snacks, and kitchen supplies.
- Ensure kitchen equipment (e.g., coffee machines, microwaves) is clean and functional.
- Monitor and manage inventory of office supplies, placing timely orders as necessary.
- Place orders for necessary supplies and track delivery schedules.
- Maintain and organize storage areas for supplies and equipment.
- Assist in planning and organizing company events, meetings, and activities.
- Coordinate logistics such as venue arrangements, catering, and equipment needs.
- Provide setup and teardown support for events as needed.
- Perform data entry, filing, and document management tasks efficiently.
- Assist with scheduling meetings and maintaining calendars.
- Provide support to other team members as needed
- Must be able to work in an environment that can be noisy at times (amplified voices)
Requirements
- High school diploma or equivalent; additional education in administration or related field preferred.
- Proven experience in an administrative role or similar position.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities, fostering a positive office atmosphere.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
- Ability to handle multiple tasks simultaneously and prioritize effectively.
