Description
We are offering a short-term contract employment opportunity for an Executive Assistant in the non-profit sector, based in Burnaby, British Columbia. As an Executive Assistant, you will provide comprehensive support services that ensure a professional, responsive and effective experience with the organization as a whole. You will be instrumental in all aspects of general administration, board support, project management, and program implementation.
Responsibilities
- Manage and maintain executive schedules, including agenda preparation for meetings, conferences, and presentations.
- Facilitate communication through answering incoming calls and managing correspondence.
- Provide a bridge for smooth communication between the executive team and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
- Draft and edit correspondences, articles, reports, and presentations; perform background research and provide relevant data.
- Coordinate project agreements and manage the application process for grant funding.
- Provide assistance with internal communications; produce and distribute scheduled and ad hoc reports.
- Maintain a system for tracking, monitoring and managing grants and contracts.
- Play a role in the planning and execution of board meetings, company events, and other meetings.
- Coordinate travel arrangements (domestic and international) and prepare expense reports.
- Manage a broad variety of administrative tasks for the executive team including: managing an extremely active calendar of appointments; completing expense reports; and compiling documents for meetings.
- Manage the organization's office space and infrastructure; ensure efficient and consistent operations.
Requirements
- Proficiency in ADP - Financial Services
- Knowledge of Concur expense management software
- Familiarity with CRM (Customer Relationship Management) systems
- Excellent calendar management skills
- Strong communication abilities, both written and verbal
- Experience with coordinating and participating in conference calls
- Proficiency in handling correspondence effectively and professionally
