Position Overview
The Product Operations Coordinator is a highly proactive and organized individual that is responsible for supporting the execution of processes related to the end-to-end Product Creation Calendar and associated operations. This role will be responsible for implementing streamlined processes, ensuring efficient workflows, and collaborating with cross-functional teams to assist with the execution, monitoring, and administration of projects. The successful candidate will have a passion for product, be hands-on and tactical supporting the scale and breadth of product operations by ensuring smooth execution of project tasks, calendar operations, data management and the information flow of communication to cross-functional teams across the greater business.
A key supportive figure to the Manager of Product operations, this individual must demonstrate initiative and possess a strong analytic ability, organizational communication, problem-solving skills, a collaborative attitude and comfortability working in a dynamic environment. This role is critical in enabling the organization to achieve its business objectives through the optimization of day-to-day calendar management, ad hoc projects and department operations.
About The Role
Calendar Coordination & Information Flow
- Accountable for task tracking and monitoring the progress of the product creation calendar deliverables while providing advanced visibility to upcoming key deadlines and activities to the cross functional team.
- Facilitate communication across departments, ensuring timely distribution of critical updates and project information.
- Track project milestones and deliverables, ensuring that documentation is up to date and accessible for the team and business stakeholders.
- Provide regular status updates and generate reports on task completion and project progress.
- Handle stakeholder communication and correspondence, addressing routine queries, department inquiries and escalating more complex issues to the Manager of Product Operations.
- Continuously review and improve operational and communication workflows to enhance efficiency and productivity.
Data Management
- Manage, maintain and analyze the collection of comprehensive data throughout the end-to-end Product Creation Calendar and associated operations (i.e. project records, meeting notes, action items, timelines and deliverables).
- Ensure accurate and timely data entry, integrity, and reporting using tools such as Excel, Power BI, SharePoint and other applicable project management applications.
- Create and manage dashboards and reports to track project performance and key metrics.
- Oversee the storage and organization of documents in SharePoint and other project management systems.
- Implement best practices for data management, record keeping, and task tracking.
Project Coordination
- Key lead/and or support with ad-hoc project execution as required.
- Lead, facilitate and execute product sample requests, sample management, shipments and analysis for key cross-functional stakeholders as required.
- Manage the coordination of department workshops as required.
- Assist with preparation for presentations, gathering meeting materials, organizing technology set-up and all offsite/onsite logistics (booking venue, ordering supplies, catering)
- Team Building and Engagement
- Support the department with key team building activities planning and execution
About You
- 1-2 years’ experience in relevant fields such as: operations, production coordination, administration or project/product management.
- University or college degree is required.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), SharePoint and project management tools (e.g., MS Project, Smartsheets, Wrike or similar) is required.
- Experience with Adobe and photoshop is an asset.
- Previous experience and genuine interest in the apparel, product innovation, consumer goods and manufacturing industry are preferred.
- A self-starter with strong planning and organization skills and detail-oriented, with a strong ability to work with cross functional teams.
- Strong communication skills (written, oral, presentation) and ability to work collaboratively across multiple departments (Planning, Sales, Marketing, Strategy, Finance, Operations, etc.)
- Take initiative to act on opportunities and identify areas of improvement to implement new processes or procedures and increase department efficiencies.
- Ability to foresee and help resolve potential conflicts in timelines, deliverables, or calendars
- Display a “can do” attitude to resolve problems and take pre-emptive action to find solutions.
- Ability to work at a high level of professionalism with both internal and external partners.
