Job Title: Receptionist

The Receptionist will serve as the first point of contact for visitors, clients, and staff, representing the organization with a friendly, professional demeanor. The role requires exceptional customer service, organization, and communication skills, and includes administrative tasks to ensure smooth office operations.
- Greet and Welcome Visitors: Serve as the primary point of contact for all incoming guests, providing a warm and professional welcome.
- Answer and Direct Phone Calls: Manage incoming phone calls, answer general inquiries, and route calls to the appropriate departments or individuals.
- Manage Visitor Check-Ins: Ensure all visitors are signed in, provided with necessary badges or instructions, and directed to the appropriate personnel.
- Maintain the Reception Area: Keep the reception area tidy and presentable, ensuring a welcoming environment for visitors.
- Respond to Inquiries: Provide general information to visitors and callers about the organization’s services, office hours, or directions.
- Manage Appointments: Schedule and manage appointments for employees or visitors, as needed.
- Sort and Distribute Mail: Handle incoming and outgoing mail, including courier services.
- Assist with Administrative Tasks: Support other departments with clerical duties such as filing, photocopying, and data entry.
- Manage Office Supplies: Monitor and order office supplies, ensuring that office operations are fully stocked.
- Coordinate Meeting Rooms: Schedule and prepare meeting rooms for client meetings, interviews, and team discussions, including catering arrangements when necessary.
Key Responsibilities

Skills, Knowledge and Expertise

- Communication Skills: Excellent verbal and written communication skills, with a professional telephone manner.
- Interpersonal Skills: Strong customer service orientation, with the ability to maintain a positive and welcoming attitude.
- Time Management: Ability to multitask, prioritize, and manage time effectively in a busy office environment.
