What you will do:
- Responsible for accurate entry, proofing, maintenance and submission of all purchase orders.
- Investigate discrepancies between POs and invoice in conjunction with the AP specialist.
- Manage the process for POs and change orders for major renovations in communities.
- Support various rebate programs to ensure proper rebates are received.
- Coordinate off-site records management and storage.
- Maintain contract database company-wide.
- Ensure procurement policy and standard contracting procedures are followed.
- Ensure warranties and scheduled maintenance are properly logged for all relevant equipment, in accordance with the relevant contract.
- Flag upcoming contract renewals to the appropriate internal stakeholder.
- Assist in processing insurance claims and annual renewals.
- Work with Accounting team to ensure claim deductibles and payouts are recorded properly.
- Coordinate claim paperwork, ensuring all filings are processed promptly, flagging any concerns.
- Ensure insurance policies are up-to-date.
- Ensure Health and Safety meetings logs are kept.
- Ensure renovation and restoration work completions are properly logged.
What you bring:
- Minimum of 1 year's experience in a similar role; recent graduates with a relevant co-op placement will be considered
- Completion of University or College degree or diploma is a must, preferably in Business Administration.
- Must have experience with purchase order systems
- Ability to read and understand the basics of a contract, insurance policies, and warranty information.
- High level of attention to detail.
- Good written and oral communication in English is a must.
- Must be able to process high volumes of work quickly, efficiently, and accurately and be able to work independently.
- Intermediate Computer Skills required in MS Excel & Word.
- Knowledge of Yardi Voyager systems and Payscan will be considered an asset.
- Possess a positive attitude with an interest in working in the seniors’ field.
- Good organization and people skills with the ability to maintain relationships and support a team environment with head office and site personnel.
- Approachable and demonstrates the willingness to listen and communicate effectively.
