Specializing in residential homes in the Durham Region and surrounding areas, we are looking for a skilled and experienced Real Estate Office Administrative to join our team.
Position: We seek a motivated, self-starter, detail-oriented individual who has at least 2-5 years of experience of working in a real estate office.
Key Responsibilities:
- System Management – Organizing deal files, relevant documents, contracts, and maintaining detailed records.
- Deal Coordination - Manage files from start to finish, oversee critical data deadlines, and audit documents for completion.
- Coordinate appointments, showings, and meetings.
- Assist in the preparation of listings, marketing materials, and checklists.
- Respond promptly to client inquiries and maintain positive client relationships.
- Coordinate birthday and event gifts, including drop-offs and card writing.
- Use CRM software (Follow Up Boss) to set reminders for client interactions and important dates.
- Organize tasks and projects in Trello.
- Post ads as needed.
- Prepare and write offers as necessary.
Skills/Qualifications:
- Minimum of 2-5 years of administrative experience, specifically in the real estate industry.
- Must have experience with Follow Up Boss (no exceptions) and a solid understanding of Trello are required.
- Driver’s license and car required.
- Highly organized, motivated, and proactive.
- Ability to multitask, prioritize, and meet deadlines.
- Values integrity, transparency, and honesty.
- Proficient in Microsoft Office (Word, Excel) and Google Products.
- Effective written and verbal communication skills.
Open to part-time and full-time, even if part-time the goal is to transition to full-time.
