Key Responsibilities
As the Receptionist and Executive Assistant, you are the face for the company and reinforce the positive energy for the office and the team. You are an outgoing, creative, organized administrator with a solutions-oriented mindset who seeks to meaningfully contribute to a fast-growing company. Responsibilities include:
· Acting as the first point of contact at one-eighty’s Yaletown, Vancouver office
· Setting a positive and collaborative tone for the office and team
· Coordinating with the various service providers (IT, HR, Accounting, building manager, etc.)
· Planning meetings, team building events & company gatherings
· Supporting bookkeeping tasks, such as monthly client invoicing, tracking of accounts receivable and payable,
preparing profit/loss reports, etc.
· Supporting project management through new project setup in Quickbooks, cost tracking, and template
development
· Maintaining electronic filing systems and organizational structures
· Supporting social media and marketing initiatives
· Supporting new hires as required
· Actioning various administrative tasks (booking travel, expense claims, coordinating conference attendance,
sourcing business support tools)
· Organizing and maintaining the office space on a daily basis (cleaning, plant care, office inventory, etc.) and
office space management (seating arrangements and equipment)
· Providing executive assistant support to the President and VP.
Required Qualifications and Experience:
· Previous experience (1-2 years) in an office administration or executive assistant role or equivalent position
· Advanced knowledge of Microsoft Office 365 (i.e. Word, PowerPoint, Excel and Outlook), to prepare client
deliverables including presentations, memos, reports.
Candidate Characteristics:
· A team player who loves bringing energy, creativity and liveliness to an entrepreneurial environment
· Excellent communicator with a positive and professional attitude
· Strong judgment and discretion in dealing with confidential operational matters with executive management
· Exceptionally organized with strong attention to detail
· Reliable, self-starter with inherent leadership skills and good judgment
· Computer whiz (MS Office and other various business software)
Salary Range:
Salary is commensurate with experience, and ranges between $50,000 to $68,000.
