About The Role
- As an Inventory Controller, you will oversee the company's inventory of AV equipment, ensuring its availability, accuracy, and readiness for live events. You will identify equipment nearing the end of its lifecycle, communicate inventory updates internally, and maintain an up-to-date inventory database, including public-facing inventory listings on our website. Your efforts will play a critical role in maintaining operational efficiency, minimizing downtime, and supporting the seamless execution of our events.
What You'll Do
- Inventory Management:
- Maintain accurate records of AV equipment, tools, and consumables using inventory management software.
- Track stock levels, perform regular audits, and reconcile discrepancies.
- Monitor equipment check-ins and check-outs for events.
- Equipment Lifecycle Management:
- Identify equipment approaching end-of-life (EOL) and coordinate turnover or replacement.
- Communicate product status and updates to relevant teams.
- Database and Website Maintenance:
- Ensure the internal inventory database is current and accurate.
- Update and maintain public-facing inventory details on the company website.
- Purchase Order Management:
- Create and manage purchase orders to ensure accuracy for vendors and internal accounting.
- Verify received orders against purchase orders and update inventory records accordingly.
- Work with vendors to resolve any discrepancies or issues related to purchase orders.
- Equipment Readiness:
- Inspect, test, and organize AV equipment to ensure it meets quality standards before deployment.
- Coordinate repairs, servicing, and maintenance schedules.
- Logistics Coordination:
- Collaborate with project managers to forecast equipment needs for upcoming events.
- Organize the packing and dispatch of equipment for events, ensuring timely delivery.
- Manage returns and assess for any damages or missing items post-event.
- Process Improvement:
- Develop and implement efficient inventory processes and policies.
- Identify opportunities to optimize storage, tracking, and logistics workflows.
- Team Collaboration:
- Work closely with warehouse staff, technicians, and event planners to ensure smooth operations.
- Train team members on inventory management procedures when needed.
Qualifications
- Proven experience in inventory management, preferably in the AV or live events industry.
- Strong organizational and problem-solving skills.
- Proficiency in Flex Rental inventory management software (or similar) is an asset.
- Technical understanding of AV equipment and its usage (preferred).
- Ability to lift and move heavy equipment as needed.
- Excellent communication and teamwork skills.
- High attention to detail and a proactive approach to managing tasks.
