About The Role
Axiom Builders is seeking an Administrative Assistant to the CEO and COO to join the team at our head office in Vancouver. This unique opportunity allows the successful candidate to gain insight, knowledge, and exposure about the world of construction through the lens of leaders in the industry. This position is perfect for an organized, personable and down to earth administrative professional who is resilient and able to adjust to priorities on the fly with clarity and efficiency.
Key Responsibilities
- Managing and scheduling calendars for the COO and the CEO;
- Daily, weekly, and monthly schedule forecasting and planning;
- Assist with personal tasks including errands, travel arrangements, real estate management and other daily support tasks;
- Coordinate corporate travel arrangements, meetings, calls, bookings, and follow-up correspondence;
- Prepare catering, room bookings, audio/visual materials, seating arrangements, invitations for leadership meetings and group events in the office and at external venues;
- Engage and interact with staff, external partners, and clients;
- Liaise between departments to successfully complete tasks and projects;
- Support and organize regular reporting and updates;
- Manage and sort courier deliveries;
- Attend, record action items and distribute minutes for important meetings.
What You Bring
The ideal Administrative Assistant to the CEO and the COO is someone who works with a sense of urgency, while always prioritizing the quality of work and attention to detail. You have a deep emotional intelligence and are able to balance tasks under differing management styles. People would describe you as someone who can remain calm under pressure, navigate changing priorities and manage tight deadlines with a smile. You display a high standard of professionalism, confidentiality, and are able to build effortless rapport with the executives you support.
This role requires access to a reliable vehicle. On-site parking is provided to the successful candidate.
Skills And Experience
- Excellent computer literacy skills in MS Office Suite (Excel, Word, PowerPoint);
- Previous experience in an administrative or client service-oriented role;
- Exceptional interpersonal skills – with an ability to proactively communicate (verbal and written) in an effective and concise manner;
- Ability to maintain a high degree of discretion and confidentiality;
- Strong work ethic – a self-starter that can think critically, anticipate needs, and prioritize workload independently;
- Experience with Intranet, and project management software including SharePoint and Procore will be considered an asset;
- Diploma, Certificate, or Degree in Business, Construction, Real Estate, or a related field will be considered an asset.
