We are seeking a highly organized and proactive Members Services Administrative Assistant to join our small team environment. This role is essential to the smooth operation of our office and the management of three key networking events for the mining industry. The ideal candidate will be detail-oriented, have excellent communication skills, and be able to handle a variety of tasks with a positive attitude. You will be to working closely with and in support of the President and CEO in all aspects of MSABC activities.
Location: The MSABC office is located at 730-800 West Pender Street, in Vancouver.
Salary: $27.00-$29.00/hr depending on qualifications and previous experience.
Work Schedule: Full-time or part-time position (minimum of three days per week), with flexibility to work occasional days from home after a three-month probation period. Office hours are 9:00 am to 5:00 pm with the exception of evening events, which take place three times a year in Vancouver.

MSABCis a non-profit industry association, affiliated with the Mining Association of British Columbia (MABC). Our mission is to “build a better future for mining” by engaging BC’s ecosystem of mining suppliers and service providers with activities designed to encourage awareness of, and support for, a responsible mining industry in BC.
MSABC:
· supports mining industry advocacy initiatives by drawing attention to BC’s mining supplies and services sector in industry-published reports, through traditional and social media campaigns, and through direct advocacy;
· coordinates three large business development networking events for mine operators and mining suppliers and service providers, including a formal dinner & auction, a shotgun golf tournament and a Christmas cocktail reception (150 to 250 event attendees);
· provides a suite of business development services to members, including a weekly newsletter, a printed and online Membership Directory, and an annual Professional Education Forum; &
· works with partner associations in the BC mining industry to support fundraising for important mining industry charities, including the Mining for Miracles campaign for BC Children’s Hospital and the BC earth sciences education program, MineralsEd.
The President & CEO and Members Services Administrative Assistant work with volunteer committees to deliver all MSABC events and services.
Responsibilities:
· Membership administration, including maintaining the MSABC membership database, website & newsletter distribution system and tracking membership information requests.
· Meeting administration, including preparing agendas; sending calendar invitations, setting up meeting spaces, and taking meeting minutes.
· Assisting with event management, including: participation on event planning committees; supporting committee outreach to secure event sponsorships, silent auction items and ticket sales; and working with the President & CEO to coordinate volunteers and venue/vendor management to ensure events are successfully executed.
· Managing membership and event financials, including: issuing invoices (membership dues, event tickets and sponsorships); processing online credit card payments; depositing cheques and issuing receipts; updating excel financial spreadsheets; and, in collaboration with MSABC Treasurer, preparing monthly financial reports.
· Basic office administration, including: ordering office supplies; maintaining electronic filing systems for financials, annual reports, filing meeting documents and newsletters; mail collection; and larger group meeting preparation if in-person meetings are held (most are still online).
Qualifications:
· Excellent verbal and written communication skills in English.
· Ability to demonstrate accuracy and attention to detail.
· Strong multitasking skills and ability to sustain high standards of quality by prioritizing, developing and maintaining systems for organizing workflow and information.
· Basic bookkeeping skills and ability to use QuickBooks bookkeeping software.
· Proficiency in Microsoft Office: Word (text editing and mail merge), Excel (filtering and sorting data and formula functions), Outlook (sending emails and calendar management); & Publisher and/or Adobe Acrobat Pro (creating forms for events).
· Working knowledge of social media platforms (X & LinkedIn) and basic knowledge of working with WordPress websites.
· A minimum of three years prior experience in an administrative role or similar position with a company or non-profit association is preferred.
