Reporting to the Court Services coordinator, this position is responsible for maintaining corporate employee files and performing various administrative duties for the Special Constable Service Department. This position is responsible for preparing and assisting with the preparation of a variety of confidential and general correspondence letters, internal communications and reports for others in accordance with departmental procedures, assisting in the coordination of daily administrative duties.
This position exercises analytical and problem solving abilities to effectively provide the required clerical and administrative support to the various sections of the Special Constable Service Department.
The successful candidate will also be required to do the following duties and responsibilities:
- Copies and provides relevant file excerpts as required to authorized staff, and responds to external legal requests
- Perform data entry of police documents into a departmental database
- Processes attendance and payroll records for department personnel; maintains vacation and lieu time records; and prepares and distributes monthly reconciliations and status reports;
- Assists with departmental IT requests, including maintaining an asset list of all computer equipment in the department;
- Maintaining records by ensuring adherence to contractual obligations within the Collective Agreements as well as organizational policies.
- Processing weekly attendance for the entire department and ensuring accuracy in payroll records for Department personnel; maintaining vacation and lieu time records.

- Your educational background including completion of a post-secondary college diploma or university degree in a related discipline or a combination of education, training and experience deemed to be equivalent is integral and will contribute to the success in this role.
- Possess sound judgement, well-developed organizational, supervisory, administrative and interpersonal skills; effective verbal and written communication skills.
- Ability to handle changing priorities in a positive manner, and must be able to ensure that all operating and administrative problems are resolved with minimal interruption to the work of the section.
- Working knowledge of the Criminal Code, Provincial Offences Act and Mental Health Act
- Sound judgement supported by well-developed interpersonal, organizational skills.
- Must have or develop a thorough knowledge of departmental office routine, function, procedures for record keeping and employee documentation including knowledge of the Personnel Payroll System and familiarity with applicable procedures relating to the Municipal Freedom of Information and Protection of Privacy Act.
