Position Summary
Reporting to the Manager, Real Estate and Property Management, the Administrative Assistant will provide administrative support for property management and construction projects. Key responsibilities include organizing documentation, managing SharePoint files, and supporting process improvements. This role offers valuable exposure to shelter and housing needs while contributing to the streamlining of workflows and enhancing operational efficiency.
Duties And Responsibilities
- Provide general administrative support to the Real Estate and Property Management teams, including scheduling meetings and preparing agendas
- Manage a significant volume of documentation related to property management and construction, ensuring all files are organized and up-to-date
- Generate and organize documents critical to property management and construction operations
- Use SharePoint to manage and store project documentation, ensuring easy access and proper organization
- Assist in reviewing and improving processes related to documentation management and project workflows
- Develop an understanding of shelter and housing needs as they relate to property management and construction activities
- Support the creation and maintenance of documentation that addresses community housing needs
- Contribute to the efficiency of property management and construction operations through process improvements
Canada Summer Job Requirements
- Must be between 15 and 30 years of age at the beginning of the employment period
- Must be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment
- Must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
Qualifications
- Currently enrolled in or recently completed post-secondary education in business administration, construction management, property management, or a related field
- Minimum of 1 year of experience in an administrative role, preferably in property management or construction
- Proficiency in MS Outlook, Word, Excel, and familiarity with SharePoint or similar software
- Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment
- Excellent written and verbal communication skills
- Ability to work effectively within a team and collaborate with different departments
- High attention to detail and strong problem-solving skills
- Understanding of shelter and housing needs is an asset
- Ability to maintain confidentiality and exercise discretion
- Must be qualified to work in Canada legally for the employer
- Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result that meets the operational requirements of the Agency
- Must have up-to-date vaccinations against COVID-19 with a vaccine that has been approved for use in Canada
