About the Role:
As a Proposal Writer/Specialist at Quartech, you’ll play a pivotal role in crafting compelling, technically accurate, and persuasive proposals that communicate our value, market positioning, and competitive advantages. You’ll collaborate with our Account Client Executive Team and Subject Matter Experts (SMEs) to translate complex technical concepts into clear, audience-friendly content, ensuring every proposal stands out for its precision and professionalism.
In addition to managing the proposal lifecycle, you’ll also contribute to refining our technical writing standards, creating reusable content templates, and ensuring all documentation aligns with Quartech’s brand and messaging guidelines.
Key Responsibilities:
- Proposal Management: Lead the end-to-end proposal process, from bid/no-bid decisions to on-time delivery, serving as the central contact for all stakeholders.
- Technical Writing:
- Translate complex technical concepts, solutions, and specifications into clear, concise, and accessible language tailored to various audiences.
- Develop and refine reusable technical content for proposals, ensuring consistency in style and tone.
- Work closely with SMEs to verify the accuracy and completeness of technical details.
- Content Development: Collaborate with Account Client Executives and SMEs to source, write, and edit high-quality proposal content, ensuring a unified and persuasive voice.
- Compliance Assurance: Analyze RFx documents and addendums to create compliant response outlines and validate final proposals for accuracy and completeness.
- Document Quality: Conduct rigorous reviews to ensure grammatical, typographical, and technical accuracy across all materials.
- Team Coordination: Schedule and facilitate planning meetings, keeping proposal teams aligned and on track to meet deadlines.
- Brand Consistency: Maintain and update sales and marketing materials to ensure alignment with Quartech’s brand and messaging standards.
- Market Research: Conduct research on current and potential customers and monitor bid sources for new opportunities.
- Tools & Technology: Leverage Microsoft 365, Dynamics 365, and AI-powered tools to streamline processes and enhance content quality.
- Sales Support: Assist with CRM data entry, customer presentations, and sales promotions.
What You Bring:
- Education & Experience:
- University degree or college diploma in English, Journalism, Technical Writing, Communications, or a related field.
- 3–5 years of experience in proposal writing, technical writing, or grant writing.
- Familiarity with IT professional services and government procurement processes is highly desirable.
- Technical Writing Expertise:
- Proven ability to write clear, concise, and engaging content for highly technical audiences.
- Demonstrated experience simplifying complex technical concepts for broader understanding.
- Familiarity with technical documentation practices, such as user manuals, specifications, or white papers, is an asset.
Technical Proficiency:
- Expertise in Microsoft 365 (Word, Excel, PowerPoint, SharePoint, Teams) and Adobe Creative Suite.
- Experience with Dynamics 365 or similar CRM systems.
- Writing Skills:
- Exceptional ability to write clearly, concisely, and persuasively.
- A meticulous eye for grammar, spelling, formatting, and detail.
- Project Management:
- Strong organizational skills with the ability to prioritize multiple deadlines.
- Experience coordinating cross-functional teams.
- Adaptability & Innovation:
- Enthusiasm for learning and applying AI tools to enhance efficiency and effectiveness.
