We are currently recruiting for an Office Administrator to join our Waste Services team in Richmond, BC.
The Office Administrator is responsible for performing a broad range of service functions in support of efficient and effective facility operations. The key responsibility areas for this role involve office administration, operational support, customer service, account payable, training and continuous improvement. The Office Administrator is an essential part of the team and will be key in mentoring and modeling SECURE’s common values and principles with clients and employees.
- Responsible for efficient day-to-day administrative support to the operational team
- Maintains appropriate files, documents, and reports
- Meet month end deadlines and ensure accurate reporting within operations
- Maintain up to date and accessible files
- Share pertinent information and correspondence with operations team
- Ensure office supplies are adequate; equipment is maintained and office is organized
- Handle internal and external customer relations and inquiries in a prompt, accurate and professional manner
- Assist with day to day tracking of all field staff, equipment, consumables, subcontractors and all related work tickets
- Document Control throughout lifecycle of each project
- Ownership of Requisition, Purchase Order and Receiving process
- Liaising with vendors and external service providers
- Liaising with Project Cost Coordinators for timely project setup and billing
- Payroll/Time entry
- Employee Expenses entry
- Work order entries in the Operating System and creation of invoices
- Continually improve all business process
- Photocopy, file and scan, as needed;
- Develop agendas, arrange meetings, record and transcribe minutes, and maintain a record of outstanding action items
- Prepare meeting minutes
- Preparation of expense reports
- Collection and filing of all confidential and business information as required and ensure files are easily retrieved
- Enters and reviews pricing in Work orders, creates proforma invoice, emails to customer for approval, creates invoice and submits final invoice to customer
- Other general administrative duties as required
Technical
- Minimum 2 years of office admin experience in industry, or recent graduate from a post secondary office admin program
- Previous administrative experience would be considered an asset
- Excellent verbal and written communication skills required
- Must be self-motivated and able to function ina team environment
- Knowledge of TDG and manifesting
- Warehouse or industrial operations knowledge preferred
- Microsoft applications (Excel, Word, Powerpoint, etc.)
- Detail orientation for working with numbers and accuracy of information
- Ability to deal with fluctuating volume of work

- Communication skills both verbal and written
