PROFILE SUMMARY
Wesgroup is poised for substantial growth over the next several years and in preparation for this exciting and challenging phase, we are actively seeking a highly engaged, driven and experienced Executive Assistant to join our team.
Reporting to the Executive Vice President, and supporting the CFO/COO, Chief Investment Officer and the Vice President, Sustainability, the successful candidate will provide executive support to these four individuals. This role ensures the department runs smoothly by handling daily administrative tasks, allowing executives to focus on strategic goals, key decisions, and relationships while maintaining professionalism and confidentiality.
KEY ACCOUNTABILITIES
- Management of executive calendars, travel arrangements, expenses and communications as required
- Preparation, and/or proofing, of correspondence, meeting agendas and minutes, reports, and presentations
- Draft, review, and send correspondence on behalf of the executive.
- Prepare and maintain letters, documents, reports, and presentations.
- Provide professional and confidential executive support
- Organize and maintain paper-based and electronic filing systems
- Plan, organize and coordinate internal and external events, meetings, and team activities
- Provide administrative support to other management and administrative staff as required
- Stakeholder communication: support in maintaining positive relationships with key stakeholders, including coworkers, lenders, clients and government agencies
- Provide limited personal assistance to the executive, including personal travel support related to industry/association events, minor errands and purchases as required
QUALIFICATIONS, KNOWLEDGE & EXPERIENCE
- A minimum of 2 years’ experience supporting senior executives
- Post-secondary courses in business administration are an asset
- A university or college degree is an asset
- A natural problem-solver with a common-sense approach and good judgement
- A high level of professionalism and the ability to represent the company as an ambassador
- The ability to work under pressure and prioritize workloads
- Advanced computer skills with proficiency in Word, Excel, PowerPoint, and Outlook
- Exceptional interpersonal skills and communication skills
- Exceptional attention to detail, organization, and records retention skills
- Flexible, adaptable, trustworthy, and dependable
- An interest in, or experience in, Wesgroup’s core and emergent lines of business is an asset
EXPECTED COMPENSATION
- Annual Base Salary: The expected salary range for this role is $70,000 - $84,500 per annum. Actual offered salary will depend on individual experience, qualifications, geographic location, market conditions for the role, and internal equity.
