Primary Responsibilities & Attitude
The Proxy Associate will be an integral part of our Operations team. On a day-to-day basis you will be responsible for managing and executing proxy-related transactions. Our business is continually evolving, and you will help us shape its growth. We’re looking for someone who is known for their work ethic, taking initiative, and considers themselves to be entrepreneurial, innovative, and likes a challenge.
You will have a strong relationship with all the Client Services teams across Canada. You are someone they can count on to be available when they need you and you take pride in paying attention to detail and completing tasks efficiently. You’re excited about being part of a fast-paced, growing company.
Key Accountabilities
- Tabulating and auditing proxy submissions
- Verifying and processing Broadridge reports
- Handling omnibus (CDS, DTC, Supplemental Omnibus reports) and NOBO loads
- Providing Final Tabulation Report to Client Services
- Creating custom files, importing reports to database, and creating backup reports
- Prorating overvotes
- Processing, analyzing, and curing overvotes and communicating updates with Client Services
- Processing proxy revocations and communicating updates with Client Services
- Monitoring inbox and liaising with securityholders, clients, and internal teams
- Assisting the Operations team with processing tasks, as required
- Accurate tracking and billing of services via internal tracking software
- Maintaining strict adherence to compliance standards
- Maintaining a strong focus on retention and growth by delivering exceptional service
- In addition to the duties listed above, management may request the completion of other duties or projects as assigned
Skills and Experience
- High attention to detail and accuracy
- Strong interpersonal skills with excellent verbal and written communication
- Ability to remain organized while prioritizing multiple tasks with varying levels of urgency
- Solutions-based attitude and an eagerness to drive process improvements by identifying problem areas and presenting solutions to management
- Sound computer skills and ability to adapt to and apply new technologies
- Willingness and desire to achieve personal and team goals
- Ability to maintain confidentiality of any sensitive information as part of the job function.
