About the Role:
We are seeking an Accounting Administrative Support Specialist to join our finance team. This role involves assisting with day-to-day accounting tasks, maintaining accurate records, reconciling accounts, and providing administrative support to ensure smooth financial operations. Responsibilities span a broad range, from handling more junior tasks to taking on more complex responsibilities as your skills and experience grow. Key Responsibilities:
- Process and code invoices, ensuring proper approvals and compliance with company policies.
- Reconcile statements, resolve discrepancies, and follow up on missed invoices.
- Prepare, post, and reconcile journal entries, monthly Visa statements, and other account adjustments.
- Maintain accounts receivable and payable subledgers, ensuring payments and receipts are accurately recorded.
- Reconcile bank, Visa, intercompany, and investment accounts monthly and at year-end.
- Communicate with clients to follow up on outstanding invoices and assist in resolving disputes.
- Generate and email client statements on a regular monthly and requested basis.
- Monitor and resolve billing issues proactively, working with internal stakeholders.
- Assist with month-end and year-end processes.
- Provide accurate data for tax returns (e.g., GST, PST) and assist with audit data preparation.
- Maintain accurate financial records and documentation in compliance with internal controls.
- Support ad-hoc reporting and projects as required within the growing business.
Education & Experience:
- Post-secondary certification or diploma in accounting, business, or a related discipline.
- 1-3 years of relevant accounting experience (e.g., AR/AP, reconciliations, and journal entries).
Skills & Competencies:
- Strong knowledge of accounting principles and general ledger processes.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with Microsoft Dynamics 365 and Google Workspace is an asset.
- Experience with business software applications and advanced Excel skills (e.g., pivot tables, formulas).
- High attention to detail, strong organizational skills, and a commitment to accuracy.
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Excellent communication (written and verbal) and interpersonal skills.
- Customer service-oriented with a proactive, problem-solving mindset.
