Title: Proposal Coordinator
Reporting to: Head of Marketing & Communications or Office Lead
Overview of RoleThe Proposal Coordinator will be responsible for managing and coordinating the proposal process to create high-quality, compelling submissions that showcase RLB’s expertise and value to our clients. These submissions involve the creation and editing of content and the overall production of proposals, including the coordination of the proposal process and the production of other related marketing materials (e.g., firm profiles, project case studies, resumes, and compliance with proposal specifications).
Key ResponsibilitiesProposal Management
- Coordinate the development and submission of proposals, qualifications packages, and other marketing materials.
- Manage proposal timelines, ensuring all deadlines are met and deliverables are completed with accuracy and quality.
- Collaborate with technical staff, project managers, and leadership to gather necessary information for proposals.
Content Development
- Write, edit, and proofread proposal content, ensuring it aligns with the company’s brand and messaging.
- Customize templates and develop tailored content to address client-specific needs and requirements.
- Maintain a library of proposal materials, including project descriptions, resumes, and other frequently requested content.
Collaboration and Communication
- Serve as a key liaison between marketing, business development, and technical teams throughout the proposal process.
- Facilitate proposal kick-off meetings, review sessions, and debriefings.
- Provide clear communication on responsibilities, schedules, and progress to ensure alignment across all stakeholders.
Brand and Quality Assurance
- Ensure proposals adhere to RLB’s branding guidelines and maintain a consistent, professional presentation.
- Review and analyze RFP requirements to confirm compliance and address potential issues.
Tracking and Reporting
- Track proposal outcomes and success rates, providing insights for continuous improvement.
- Update CRM or tracking systems with relevant pursuit and proposal data.
QualificationsThe ideal candidate will demonstrate a positive proactive approach to the role, and will be committed to delivering customer service excellence, with good commercial results.
- Bachelor’s degree in Marketing, Communications, English, or a related field or related work experience.
- 2+ years of experience in proposal coordination or marketing, preferably in the construction or A/E/C industry.
- Strong writing, editing, and organizational skills with attention to detail.
- Ability to manage multiple projects simultaneously in a deadline-driven environment.
- Proficiency in Microsoft Office and Adobe Creative Suite; experience with CRM systems is a plus.
- Excellent communication and interpersonal skills, with the ability to work collaboratively with cross-functional teams.
Preferred Qualifications:- Familiarity with construction industry terminology and RFP/RFQ processes.
- Experience working with technical content and translating complex information into clear, compelling messaging.
Physical Requirements and Working Conditions- Indoor office environment. May require work on site location when necessary.
- Equipment used includes computers and standard office machines.
- Essential physical tasks include: the ability to work on a computer and the ability to answer and speak on a telephone.
