Looking for a new and exciting job opportunity? We are looking for a Project Support Coordinator to support day-to-day operations, clerical and administrative duties for the Plant Maintenance Engineering (PME) capital project team.
- Support section staff with engineering and construction project tracking, coordinating meetings, walkthroughs, project handover sign offs and other administrative activities.
- Assist in updating an issues-follow-up system for project status and sign-offs tracking.
- Prepare sign off documents for project handover to Plant Maintenance after the completion of construction projects, and other correspondence or documentation as required, and in accordance with standards.
- Coordinate training schedules for Plant Maintenance staff before project handovers.
- Coordinate, track and review capital projects with department managers and create weekly, monthly, quarterly and annual progress reports on capital project reviews and project handovers.
- Assist in developing different tools, processes and systems to increase efficiency and meet goals through researching and examining operational and performance data reports, recommending and implementing improvements to current workflows.
- Develop report templates with proper data filters as requested, and create queries using MS Access.
- Participate in and/or assist with other departmental activities and duties as needed, and provide backup support as required.
- Participate in the TTC Customer Service Ambassador Program.

- Completion of secondary school education in a relevant discipline or a combination of education, training and experience deemed to be equivalent.
- Your application will reveal sound knowledge of modern office methods, practices, procedures and equipment.
- Your application will reveal sound knowledge of word processing, data entry and communication skills to exchange and verify information, as well as maintain and provide printout material requirements relative to the document control area.
- Your application will reveal strong knowledge of computers and software/applications related to the work, including advanced knowledge of MS Excel and proficiency with MS Access.
- Your application will also reveal sound knowledge in creating pivot tables in Excel, writing complex nested formulas consisting of logical, mathematical and reference/lookup functions, VBA to automate tasks (due to high volume of work); and creating KPI charts, reports and others as requested.
- Your application will reveal a strong ability to modify or add to existing Access data structures, and properly establish relationships between data tables. You must be familiar with different types of controls in Access (combo box, list box, sub forms) and be able to add events (through VBA or Macros) to enhance functionality.
- Your application will also reveal sound ability to write custom SQL queries to extract various data to be used as a base in forms or reports.
- You must have strong critical thinking and problem solving skills, and effective interpersonal and communication skills.
- You must have excellent and effective team building skills to create synergies among different team members and stakeholders, including different trades.
- You must also be detail oriented with good organizational skills.
