Responsibilities
OVERALL PURPOSE:
The Asset Control Specialist Is Responsible For
Controlling and tracking all outstanding parts and non-inventory tools to ensure their disposition is accounted for and the associated repair documents are correct.
Assigning repair purchase orders and repair work orders.
Arranging shipping of parts and non-inventory tools for repairs.
Expediting and tracking of parts.
Updating daily the related computer records to ensure the currency and accuracy of the inventory and maintenance records regarding on hand and on order and in repair quantities.
Administering the warranty program along with the associated record keeping and reporting.
Maintaining all vehicle accident repair claims documentation and associated parts tracking.
Assisting and guiding BCRTC support shops regarding workflow solutions related to parts repair.
Major Responsibilities
Controls the movement and reconciles the records of all RIP (repairable capital assets) components, repairable consumable parts, and non-inventory tools:
Checks parts and tools daily in quarantine against work orders and requisitions, verifies data matches, paperwork, and investigates and resolves any discrepancies.
Initiates shop repair orders for tracking of parts and tools.
Prepares tags for all parts and tools and records all relevant information and documentation.
Issues repair purchase orders with the designated supplier and records associated repair cost estimates.
Determines whether repairs are designated for in-house repair or by an outside supplier.
Revises repair work orders and purchase orders when a regular in-house repair needs to be sent to an outside supplier.
Segregates parts for engineering review and investigation.
Identifies the Asset ID and ensures that parts come from the correct location. If no Asset ID exists takes steps to create asset ID.
Coordinates shipping of parts and non-inventory tools for repair.
Establishes priorities of processing of parts and non-inventory tools.
Coordinates the movement of parts to and from in-house repair shops and to inventory from suppliers.
Moves parts over 50 lbs. using pallet jacks and Forklifts, as required.
Selects outside suppliers from pre-authorized list.
Coordinates and completes return authorization documentation forms for suppliers. Provides material shipping documentation to Stores.
Estimates repair costs for items that do not have a cost history and updates the general cost history.
Monitors shops withdrawal of Track by Asset to ensure part was required or timely repair and return is completed.
Provides inputs to establish in house standard repair costs.
Creates required documentation for Stores to supply BCRTC parts to outside suppliers for repair of parts.
Reconciles the availability and movement of parts and non-inventory tools between the maintenance tracking system, stores issues, inventory systems and other reports (e.g., core quantity Report).
Investigates discrepancies, if any.
Monitors and balances on order and on hand in repair quantities and ensures stores have inventory to meet vehicle maintenance requirements.
Expedites repairs, both in-house and with outside suppliers, when repairs are overdue or urgency of repair increases. Reviews zero quantity, nil stock alerts and various overdue reports for items that require attention.
Coordinates The Parts And Non-inventory Tools Warranty Program
Reviews all parts and non -inventory tools for possible warranties from the maintenance tracking system, tool asset file or other warranty documentation and records this date.
Controls all new vehicle work orders for warranty review and identification in the maintenance work order system.
Obtains return under warranty authorizations, negotiates return where necessary and escalates any refusals to do warranty work.
Assists in preparation of monthly warranty billing report.
Verifies the accuracy of Track by Asset Cores location before issuing a new repair WO to avoid duplication of new Assets created in the system.
Issues repair work orders required for EAM in processing Repairable Parts found in Unreturned Cores list. Initiates Service Purchase Orders and attaches the Work Orders that include the parts required for repair.
Maintains all work orders, direct charge requisitions, associated costs and parts of accident trains and prepares necessary claim reports.
Issues Scrap-Out Notices and Permanent Installation Notices and updates tracking system records. Follows up with Maintenance Supervisors to ensure timely completion of Scrap out forms.
Prepares documents and updates computers records when “robbing” of parts occurs and ensures records properly reflect and track parts.
Recommends changes to systems involved in tracking, maintains records of any changes to system procedures.
Maintains Quarantine Area in a safe and orderly manner.
Performs related duties as assigned such being items of a minor nature which do not affect the value of the job.
Education
Qualifications
High school graduation. Courses related to MS office and web system applications. Forklift certification and training as per CSA standards. Electronic Hand Truck certification.
Experience
Two (2) to three (3) years previous experience working in a computerized commercial vehicle maintenance and repair environment, mechanical part handling or general technical background experience in a repair and operating or repair facility. Basic knowledge of ERP system with a focus on asset management and part tracking. Experience of working with suppliers to obtain return authorization and following up on deliveries times for repair. Working knowledge of Customs and exportation of repairs. Good problem solving and analytical abilities for data analysis, movement of serialized parts and how parts move in an EAM environment. 2-3 years’ experience in using a Forklift.

Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

This position works predominately on-site.
Rate of Pay
Wage: $46.59 per hour
Please note: All new employees will be subject to a 6-week trainee rate at 75% of the hourly rate.
