Role Description
The role of an Administrative Associate at CIBC Wood Gundy involves providing support to investment advisors and ensuring smooth operations in the wealth management branch. Responsibilities typically include a combination of client service, administrative duties, and organizational tasks. Here’s a breakdown of the primary job functions:
1. Client Service
• Act as the first point of contact for clients, ensuring they receive exceptional service.
• Handle client inquiries related to accounts, transactions, or general information.
• Assist in onboarding new clients, including collecting required documentation and completing account setup.
• Maintain regular communication with clients to provide updates or respond to concerns.
2. Administrative Support
• Prepare, process, and manage various client-related documents, including account applications, transfers, and investment instructions.
• Coordinate appointments, meetings, and schedules for advisors.
• Ensure compliance with regulatory and internal standards when handling client documents and files.
• Monitor account activities and flag any discrepancies or issues.
3. Transaction Processing
• Execute client transactions (e.g., trades, deposits, withdrawals) as directed by investment advisors.
• Process fund transfers and other account-related tasks efficiently and accurately.
• Reconcile accounts and verify data to maintain accurate records.
4. Marketing and Business Development Support
• Assist advisors with preparing presentations, reports, and client-facing materials.
• Help organize client appreciation events or marketing campaigns.
• Maintain and update client databases and contact lists for outreach efforts.
5. Compliance and Risk Management
• Ensure all activities align with regulatory and compliance requirements.
• Stay updated on policies, procedures, and changes in financial regulations.
• Protect client confidentiality and handle sensitive information securely.
6. Technology and System Management
• Use financial tools and systems to manage accounts, track client activity, and generate reports.
• Troubleshoot minor technical issues or liaise with IT support for more complex problems.
• Stay proficient in proprietary software, tools, and online platforms used by Wood Gundy.
Skills and Qualifications:
• Education: Post-secondary education, preferably in finance, business, or administration.
• Experience: Previous experience in financial services, administration, or customer service.
• Skills:
• Strong organizational and time-management skills.
• Excellent communication and interpersonal abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Familiarity with investment products and services is an asset.
• Certifications: CSC (Canadian Securities Course) and CPH (Conduct and Practices Handbook) or willingness to obtain it may be required.
