About This Location:
Our Home Office is located in the heart of Bloor West Village in Toronto, just steps away from Jane Subway station. This role is a hybrid position with a requirement to attend the office 2 days a week, or more depending on the needs of the business, in a schedule of Monday to Friday, 9AM – 5PM.

About This Role:
Reporting to the Senior Manager, Marketing & Communications and following Company and Marketing and Communications Department policies and procedures, the Marketing Administrator will provide administrative support and assistance to the Marketing department.
We are looking for a qualified, action-oriented and self-motivated individual who is capable of prioritizing and handling multiple demands simultaneously. The successful candidate will have excellence attention to detail and organizational skills, experience in providing administrative and program support in a fast-paced office department, as well as the qualifications listed below.
Key Qualifications and Demonstrated Abilities:
- Minimum college diploma in Business Administration.
- 2-3 years’ experience within a corporate office environment. Marketing department administration experience is an asset.
- Strong organizational and filing skills.
- The ability to lift up to 20 lbs.
- Intermediate computer skills using Microsoft Office (Word, Excel, Power Point, Outlook)
- Self-motivated with the ability to work effectively independently or as part of a team managing multiple projects with ease.
- Excellent attention to detail and consistently high level of accuracy.
- Exceptional interpersonal and communication skills; verbal, written and presentation.
- Demonstrate strong customer service skills with the ability to partner with all levels of the organization.

Responsibilities:
- Performs various administrative duties for the Marketing Department including but not limited to invoice coding and distribution, phone/email/mail screening and distribution; budget tracking and reconciliation.
- Coordinate Yellow Page and White Page directory listing renewals with branch consultations, ad revision and contract confirmations within renewal deadlines.
- Coordinate phone tracking numbers for all programs and branches; including generating reports on call volumes.
- Coordinate promotional items catalogue inventory including advising branches of program enhancements, monthly/seasonal orders and required deadlines.
- Maintains video and photography library for the department.
- Maintains WorkForceNow time reporting for the department.
- Process monthly corporate credit card statements on time, with appropriate coding and invoice reconciliation.
- Organizes meetings for the Marketing management team, including scheduling attendees, room/virtual set up, take minutes and manage deliverables.
- Coordinate department events such as summer BBQ, holiday, team celebrations and catering as required.
- Provides reception switchboard relief as required.
- Performs other administrative duties and supports the Marketing and Communications department as required.
