A Glimpse into Your Daily Activities
- Accurately and promptly complete all project administrative tasks, ensuring review by the Project Manager (or senior team member) when necessary.
- Monitor site progress and maintain the Project Lifecycle and construction schedule on a weekly basis through effective communication with site staff.
- Attend all construction site and customer care team meetings, working from the site as directed, and resolve routine administrative issues as they arise.
- Maintain organized project files and documentation.
- Administer all paperwork for contracts and maintain related documentation.
- Manage the tender list and job list, ensuring accuracy and completeness.
- Complete trade invoicing in a timely manner.
- Monitor contracts out for signing and ensure documentation is organized.
- Prepare documentation for turnover meetings, following the guidance of the Project Manager.
- Support the Safety Manager and site staff in enforcing safety requirements.
- Assist the Project Manager in liaising with the daily needs of the construction site.
- Collaborate with the Construction Superintendent to address unforeseen site conditions and resolve related issues.
- Work alongside Sales Staff to ensure completed inventory suites, parking, and lockers expedite sales efforts.
- Ensure the building is prepared for first inspections and move-ins, meeting hotel readiness standards.
- Monitor and track completion of deficiencies by the site in a timely manner.
- Facilitate internal technical audits and ensure timely addressing of identified items while trades are on-site.
- Coordinate drawings to a level suitable for tendering each discipline under the guidance of the Project Manager.
- Demonstrate mastery in performance of all assigned administrative and project coordination tasks.
- Complete work on time, at expected quality without requiring reminders or review of work.
- Able to communicate effectively with a wide range of internal and external stakeholders.
- Consistently take initiative, knowing the status of tasks and taking ownership over outcomes.
- Demonstrate detailed knowledge of technical/construction terminology.
- Take on tasks associated with Senior Project Coordinator level, including technical aspects.
- Demonstrate ability to successfully perform tasks at the next level.
The Architect of Your Success
- Bachelor's degree or college diploma in Construction Management, Engineering, or a relevant field.
- Prior experience in project administration, including tasks such as paperwork management, contract administration, and scheduling.
- Basic understanding of standard project administrative practices and procedures, as well as basic construction language and drawings.
- Strong organizational skills to manage paperwork, contracts, schedules, and documentation efficiently.
- Excellent communication skills to liaise with site staff, attend meetings, and resolve administrative issues.
- Demonstrated ability to collaborate with different teams, including construction superintendents, safety managers, and sales staff.
- Proficiency in multitasking, prioritization, and managing multiple projects concurrently.
- Analytical and process-oriented mindset to facilitate effective project operations.
