Food Services plays a critical role in supporting patient care and overall health outcomes by providing high-quality, nutritious meals tailored to diverse dietary needs. Our department is composed of skilled professionals, including Dietary Aides and Cooks who ensure that patients, residents, and staff receive meals prepared with care and attention to quality standards.
Position Overview:
We are seeking a Program Administrative Assistant to support the Food Services department. Reporting to the Program Director, this role provides comprehensive administrative support to program leaders and designated staff. As a Program Administrative Assistant, you will utilize computerized word processing, database, spreadsheet, and graphics software to produce confidential correspondence, organize and analyze data, and prepare visual presentations.
Key responsibilities include:
- Managing and processing medical-legal, labor relations, and disciplinary correspondence.
- Assisting with the coordination and dissemination of information to ensure smooth program operations.
- Collaborating with other Program Administrative Assistants and Executive Assistants to maintain coverage in designated areas and support priority organizational projects.
- Supporting the Program Director(s), Operations Leaders, and Site Leaders with scheduling, communications, and various administrative tasks.

What You Bring:
Education, Training and Experience:
High School Diploma, completion of a recognized secretarial or business program and three (3) to five (5) years recent related experience, or equivalent combination of education, training and experience. Previous experience in Food Services considered an asset.
Skills and Abilities:
- Ability to handle multiple complex and competing priorities.
- Effective interpersonal skills and ability to maintain harmonious working relationships with others.
- Ability to communicate effectively both verbally and in writing.
- Ability to set priorities and meet deadlines.
- Ability to work with minimal supervision.
- Ability to keyboard at 60 WPM.
- Ability to take and transcribe minutes of meetings.
- Intermediate to advanced skills using a variety of computerized software packages such as Microsoft Office Suite (e.g. Excel, Access, PowerPoint, Outlook), related databases and the Internet. Knowledge and use of MS Visio and web publishing software would be an asset.
- Working knowledge of basic bookkeeping/accounting procedures and concepts.
