The Vancouver office is an award-winning team committed to excellence. We’re seeking an organized and energetic Office Associate to serve as the activity hub of our team, supporting Sales Associates, the General Manager, Job Site Supervisors, and most importantly, our customers.
Position Overview:
As the Office Associate, you will play a central role in ensuring the smooth operation of our business. From coordinating projects and maintaining schedules to fostering relationships with customers and supporting the team, you will be integral to our success.
Key Responsibilities:
- Represent CertaPro with professionalism to differentiate the brand and enhance our “Brand of Certainty” reputation.
- Manage customer interactions and scheduling, ensuring seamless transitions from project approval to completion.
- Build strong customer relationships through diligent follow-up and support.
Operational Support:
- Oversee the production board in collaboration with the General Manager.
- Schedule quotes for the sales team and keep CertaOne updated.
- Order supplies, including paint and necessary equipment.
- Schedule services such as scaffolding, booms, or color consultations as required.
Team Collaboration:
- Develop strong working relationships with Sales Associates and Job Site Supervisors to ensure project expectations are met.
- Problem-solve issues as they arise and maintain open communication across the team.
- Plan and facilitate team meetings and social events.
Marketing and Administration:
- Manage digital media presence, website updates, and the Google review program.
- Support quarterly marketing initiatives with the General Manager.
- Oversee the Quality Assurance and Safety programs.
Financial and Administrative Tasks:
- Monitor Accounts Receivable, process customer payments, and handle data entry for invoices.
- Provide payroll information to the bookkeeper and assist with new painter hiring and onboarding.
- Manage office supplies, mail, and general administrative duties.
Qualifications:
- Minimum 3 years of office experience, with a diploma or degree in a related field.
- Strong organizational and multitasking abilities.
- Self-motivated, detail-oriented, and goal-driven.
- Exceptional communication, presentation, and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other software systems.
- Passionate about delivering outstanding customer service.
- Driver’s license with a clean driving record.

Job Type: Full-time
Pay: $55,000.00-$70,000.00 per year
