Job Summary:
We are seeking a highly organized and proactive Office Admin Assistant to join our team. This role is essential to the smooth operation of our office and the efficient management of executive schedules and travel arrangements. The ideal candidate will be detail-oriented, have excellent communication skills, and be able to handle a variety of tasks with a positive attitude.
Key Responsibilities:
Travel and Accommodation Arrangements:
- Book flights, hotels, and transportation for executives and team members.
- Ensure travel itineraries are organized and communicated effectively.
- Handle any travel-related issues or changes promptly.
Office Management:
- Maintain office supplies and ensure the office is well-stocked and organized.
- Coordinate with vendors for office maintenance and repairs.
- Manage office-related bills and expenses.
Executive Support:
- Assist executives with daily administrative tasks and scheduling.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Handle confidential information with discretion.
Communication:
- Serve as the point of contact for internal and external communications.
- Draft and proofread correspondence, emails, and other documents.
- Coordinate and schedule meetings, appointments, and events.
General Administrative Duties:
- Answer phone calls and direct inquiries to the appropriate person.
- Greet visitors and provide a welcoming environment.
- Perform other administrative tasks as needed to support the team.
Qualifications:
- Proven experience as an Office Admin, Executive Assistant, or in a similar role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to handle multiple tasks and prioritize effectively.
- High level of discretion and professionalism.
- Experience in booking travel and managing itineraries is preferred.
