Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:
Office Management
- Work in a fast-paced environment under multiple deadlines and communicating with team leadership, project managers, staff, and clients on a regular basis;
- Greet and guide clients and visitors in a friendly and professional manner;
- Handle incoming phone calls via MS Teams platform and properly assist or forward the calls accordingly;
- Manage, schedule, and assist in maintaining the cleanliness of the reception, stationary room, kitchen, and board rooms while supporting client catering needs, when needed;
- Management of sign-in system and issuance of security badges, loading bay keys, staff lockers, etc.;
- Inventory management of office and kitchen supplies;
- Coordinate incoming and outgoing mail, deliveries, and courier items;
- Assist in maintaining key external business relationships with various vendors;
- Monitor inventory of equipment and consumables, track usage and calibration, arrange maintenance, and assist on billing documentation;
- Providing general office and health and safety walkthrough for onboarding staff;
- Contribute to improving processes and team workflows to promote efficiency and goodwill;
- Support WCAN Office Services team with service request management for all offices of the region;
- Provide general administrative support, as time permits or as requested by the Regional Administrative Lead;
- Other assigned tasks.
Business Teams Support
- Document production including typing, formatting, and revisions of reports and general correspondences based on preset templates and styles. Work in Microsoft Word, Excel, PowerPoint, Adobe, and creating bookmarked PDF documents per GHD standards;
- Guide and assist team members with meeting quality system requirements, including purchasing, document review, and filing;
- Guide and assist project teams with company policies and all procedural aspects of project delivery;
- Monitor staff scheduling and assist as necessary to resolve scheduling conflicts and keep the team schedule up to date;
- Coordinate office Health, Safety & Environment requirements as part of a local, Regional and National team;
- Plan and assist on meetings and events, as instructed by the Office Managers or the Regional Administrative Lead, when necessary.
What you will bring to the team:
- 0-3 years previous work experience in an administrative support role is an asset, but not a requirement;
- Ability to carry out tasks independently if necessary; general knowledge working with various correspondence including reports, tables, letters, memos, and Adobe;
- Advanced knowledge of Microsoft Office (Outlook, Word, Excel, Power Point, Teams) and Adobe Acrobat;
- Proficiency in English language, both written and verbal, along with effective coordination skills, is essential;
- Having experience in document control is advantageous, particularly in managing version control, document naming conventions, and filing processes;
- Demonstrates the ability to work effectively within a team, actively contributing shared goals and fostering a positive team environment;
- Demonstrating the ability to work independently without constant supervision.
- Self-motivated and capable of making confident decisions;
- Effective problem solving skills;
- Strong skills in prioritization, attention to detail, timely task completion are essential;
- Dealing with changing priorities and tasks is essential in a dynamic work; environment. This position requires some flexibility in work hours, and it is eligible for overtime;
- Open to working in an office as an essential part of the Vancouver team. This is an office based position, Monday to Friday.

Salary Range: $48,153 – $65,148 based on experience.
