Role Description
Reporting directly to the Vice President, Retail National Marketing- this position is responsible for assisting in the overall planning and execution of marketing activities relating to the National Retail Marketing portfolio.
The Administrative Assistant will be a self-starter with demonstrated administration and organizational skills, combined with strong software and business-tool capabilities. This position requires strong attention to detail with a creative flare for creating engaging presentations and reports.
Responsibilities
- Assist the Vice President- Retail National Marketing in the execution of marketing activities designed to elevate the QuadReal retail brand.
- Assist the Retail National Marketing team by being onsite to help with special events as much as possible and within reason (Assembly Park, Bayview Village, Cloverdale Mall, Marche Central), and continue support for the west team from Toronto (Bower Place, Capilano Mall, The Post, Westshore Town Centre, Willowbrook Shopping Centre)
- Assist with the organization of special events and meetings; including arranging catering, booking function space, creating and sending invites, sourcing giveaways, coordinating logistics, etc.
- Assist with the creation of marketing collateral (participating in creative meetings, sourcing content and logos for use in collateral pieces, proofreading materials, etc.).
- Create and keep up to date the retail portfolio asset library
- Create quarterly reports for executive team’s review
- Keep running track of all marketing-related invoices and reconcile on a quarterly basis.
- Monitor and track Retail National Marketing Corporate budget and expenses (BU12746) and to present up-to-date numbers monthly
- Prepare the monthly Marketing team meeting agenda, materials package and meeting minutes.
- Make meeting and travel arrangements for the Vice President, Retail, National Marketing.
- Consolidate all KPI’s and reports for each retail property (KPI tracking sheet, Landlord Contributions, Quarterly Status Reports) Compile key property reporting data and excel spreadsheets in preparation for senior management meetings and portfolio reporting requirements and post to portal.
- Research and compile relevant Retail industry and real estate market data and distribute the data
- Prepare creative presentations in PowerPoint and other software programs that utilize photos, videos, audio material and other visual assets.
Qualifications
- 1 to 3 years’ related experience in administrative or marketing related role.
- Relationship Skills – Superior oral and written communication skills; ability to develop and sustain cooperative working relationships at all levels; ability to exercise confidentiality; displays enthusiasm and has a desire to learn; team player.
- Multi-Tasking Skills – Ability to allocate one’s time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities.
- Organizational Skills – Exceptional organizational skills, strong multi-tasking skills and strong detail orientation are essential.
- Computer Skills – Advanced MS Office Skills (Word, Excel, PowerPoint, InDesign).
- Strong proofreading skills and asset.
- Strong prioritization skills with the ability to work independently and meet deadlines are critical.
- Event management experience considered an asset
