GFL Environmental is looking for an ambitious administrative specialist to represent the Soils division. The ideal candidate is naturally inclined to an admin role with a competitive, aggressive, and self-motivated attitude. The candidate will oversee and manage the day-to-day operations of vehicles for accuracy in accounts payables, as well as administer and be the primary contact for the internal/external soil tracking systems and processes.
Key Responsibilities:
- Responsible for freight reconciliations and processing of all invoices pertaining to trucking;
- Responsible for accurately tracking all inbound and outbound soil movements for AP accuracy;
- Responsible for managing frequently changing vehicle and project rates for thorough precision in AP;
- Receiving, understanding and organizing all AP invoices submitted so as to proceed in efficient processing;
- Organizing data and overseeing rates into a personalized spread sheet on Excel;
- Filtering data from TRUX applictaion to obtain the exact information needed to provide accuracy in AP and for future accruals;
- Responsible for making corrections to invoices and separating variances when required;
- Ensure excellent communication with dispatch for effective month end accruals;
- Maintain good relations with brokering companies so as to ensure accurate and speedy resolutions on submitted invoices and discrepancies.
- Account for all inbound and outbound loads;
- Apply invoice numbers and totals in excel to offer trucking accruals in a timely and orderly fashion;
- Assisting clients/vendors and providing friendly customer service when required;
- Offer assistance on many other aspects of the companies accounts payables and accounts receivables when required;
- Assist in TRUX billing when necessary and help with adjustments;
- Month end accruals.
Soil Tracking
- Complete client onboarding, demos and training;
- Daily client inquiries/customer service and troubleshooting ;
- Batch Approvals and coordination with dispatch and sales team, daily load count reports;
- Development progression, tracking, project management;
- Meetings with developer and testing all changes to production;
- Generate all monthly billings and maintain accounts receivables;
Knowledge, Skills and Competencies:
- Experience in Trux Weigh-IT, Haul-IT and SoilHub applications;
- Proficient in Microsoft Excel;
- Detail oriented;
- Excellent communication and administrative skills;
- Proven ability to problem solve by using and manipulating numbers.
- Ability to build and maintain strong relationships with internal and external accounts.
- Ability to communicate effectively with internal and external stakeholders.
- Ability to read, write, and comprehend reports and associated documents.
