- Diploma or bachelor’s degree in marketing, communications, business administration, or a related field, or equivalent experience.
- 2+ years in a proposal, marketing, or production role
- Proficient in MS Office Suite (Word, Excel, Project), and Bluebeam, and Adobe Pro
- Strong formatting skills with experience adhering to formatting and brand guideline
Bonus Points For
- Knowledge of proposal development processes for both public and private sector

A Little More About the Role
As a Proposal/Production Coordinator, you will play a crucial role in supporting business development by coordinating and delivering high-quality proposals that meet client requirements and reflect our firm’s brand standards. Working closely with multidisciplinary project staff, you will ensure proposals are accurate, visually appealing, and meticulously crafted. This position demands strong organizational skills, keen attention to detail, and the ability to thrive in a deadline-driven environment.
The ideal candidate is calm under pressure, deadline-oriented, with strong Microsoft Office skills and pro-level document formatting and assembly skills.
Key Responsibilities
Proposal Development & Content Creation
- Collaborate with proposal coordinators, technical writers, project staff, and graphic designers to develop, format, and deliver proposals for both public and private sector clients.
- Utilize MS Office (Word, Excel), and Bluebeam to create, refine, and assemble proposal documents.
- Source and generate general corporate content for proposals, including project descriptions, qualification summaries, and resumes.
- Working directly with technical staff to develop, format and deliver letter-based and select proposals.
Quality Control & Brand Consistency
- Ensure all proposals adhere to company format and brand standards, reflecting a high level of professionalism and quality.
- Review and proofread proposal drafts to capture and correct even minor errors, ensuring error-free, polished final documents.
Project & File Management
- Create and maintain proposal templates, aligning responses and text with RFP requirements.
- Assist with final close-out processes, including file management, archiving, and documentation according to internal procedures.
- Regularly updating standardized components and inputs for our proposals so that available versions are all up to date (e.g. CVs, project sheets, etc.)
Production & Delivery
- Formatting and production of both proposals and technical reports, ensuring documents are ready for delivery according to client specifications.
- Prepare physical and digital proposals, coordinating with production staff for on-time delivery.
Cross-Functional Collaboration & Support
- Interact professionally with internal teams, project staff, and industry collaborators, providing them with exceptional service and timely responses.
- Coordinate with teams to meet both internal and external deadlines, prioritizing competing tasks effectively.
