The Role:
As the Bilingual Project Coordinator, you would be responsible for the administration and coordination of in-store consulting programs in English and (Mexican) Spanish languages. This role involves supporting all aspects of the programs, including scheduling, communication, and evaluation, to ensure the programs operate smoothly and effectively. The ideal candidate will have strong organizational and administrative skills, incredible attention to detail, and the ability to work well with consultants, internal team members, and other stakeholders.
A Day in the Life:
- Provide day-to-day support on assigned programs.
- Tasks may include logistics, technical support (Zoom and Salesforce knowledge is an asset), communication and email deployment, tracking, reporting, and project administration.
- Support project financial management requirements, including PO and expense processing, timesheet entry, dealer billing and financial administration.
- Maintain a dashboard through reporting and analysis of data.
- Manage the timely flow of information and documentation of program-related activity within the program team and to/from the client.
- Help develop, plan and manage program schedules and plans to meet delivery deadlines as needed.
- Organize and attend meetings, ensuring all necessary materials are prepared and contact reports are completed and distributed post meeting.
- Assist in the preparation of program reports, and presentations.
- Monitor program progress and create program status reports.
- Support the Program Manager in managing and resolving program-related issues quickly.
- Maintain program documentation, including trackers, schedules, and meeting notes.
- Ensure compliance with program standards and processes according to the program Playbook.
Are You the One:
- A post-secondary degree or diploma in Business, Business Administration, or a related field.
- Proven experience in program and project coordination ideally within an agency setting in the consulting sector (automotive industry experience is a bonus).
- Exceptional listening, analytical, attention to detail, prioritization, problem-solving, and decision-making skills.
- Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously in a fast-paced, dynamic environment.
- Excellent communication and interpersonal skills, with the ability to build and maintain positive relationships with consultants, internal stakeholders and clients.
- Experience with Microsoft Office Suite - strong level of proficiency using Word, and PowerPoint, with expert proficiency required with Excel; including hands-on functional knowledge and navigation of various Project and/or Program Management software and tools including MS Project and MS Dynamics.
