Our People and Equity Division delivers critical functions within the City’s complex multi-site, multi- division, multi stakeholder and union and non-unionized environment. As part of the People & Equity Division, our People Experience section supports strategic corporate talent, learning, and leadership programs, projects, and talent management systems. People Experience is highly integrated into the broader divisional work of developing and implementing policies and practices conducive to improving the overall employee experience and fostering an equitable working environment.
In this temporary role, reporting to the Senior Project Manager, the Project Coordinator will support a complex Talent Management System technology evaluation and procurement project for the People & Equity Division. The key deliverables for the capital project will include gathering and evaluating the talent management system requirements, procuring and working with an external consulting vendor to evaluate and report on market options in support of drafting business cases for the procurement of a future solution.
The role will be responsible for implementing project plans, vendor management, and reporting to deliver project mandates and provide project and stakeholder management in support of the capital project.
What You Will Do
- Implement detailed project plans and recommend project specific requirements.
- Conduct research into assigned area ensuring that such research takes into account developments within the field, corporate policies and practices, legislation and initiatives by other levels of government.
- Provide input and administers assigned budget, ensuring that expenditures are controlled and maintained within approved budget limitations.
- Supervise assigned projects, ensuring effective teamwork and communication, high standards of work quality and organizational performance and continuous learning.
- Assist in the roll out of change management initiatives. Participate in the development of knowledge-based resources.
- Liaise with divisional budget, accounting and administrative staff.
- Represent the division on Divisional and Corporate workgroup and committees.
- Coordinate and maintains ongoing tracking and follow up on directives.
- Prepare regular reports with trend analysis to senior management.
- Coordinate completion of work plans with project staff.
- Prepare documents for senior management by conducting research and analysis.
- Act as a liaison between the division and other divisions across the City, in order to establish and maintain effective partnerships within the corporation.
- Attend meetings on behalf of the Sr. Project Manager, when requested.
- Coordinate and support the work of the project team.
- Organize team meetings, events and various communication material as required.
- Conduct presentations to senior management ensuring information on project progress is disseminated/understood.
- Communicate regularly with all operating areas, informs Sr. Project Manager and provides support to the Director on issues that require divisional coordination and policy rollout.
- Develop reports for Council and briefing Notes for Senior Leadership Team.
Key Qualifications
- Post-secondary education in Business Systems Analytics, information technology, computer science, Human Resources (or other discipline pertinent to the job function), combined with the demonstrated experience in a large organization. PMPis an asset.
- Familiarity with HRIS software applications.
- Experience coordinating, supporting and facilitating innovative, large scale divisional projects in a deadline driven, ideally, in a talent management systems capacity.
- Experience with vendor and contract negotiation and management an asset.
- Experience preparing reports and research documentation.
- Experience conducting research, data analysis, and summarize findings.
- Excellent communication, presentation and interpersonal skills, and the ability to work cooperatively with others in an interdisciplinary team and across functions and divisions.
- Experience using a variety of software packages including MS Office (e.g., Word, Excel, Power Point), process design software (e.g. Visio), business requirements management and and project management software (e.g., MS Project).
