What will you be doing as the Operations Coordinator?
The Operations Coordinator (OC) will report to the Operations Manager to ensure the successful delivery of Pride Toronto’s annual festival and special events. The OC will be responsible for coordinating logistics, labour, and vendors and executing all operational assignments as delegated. The OC will also play a large role in helping to plan Pride Toronto’s Parade and StreetFair. They will also be responsible for the daily maintenance of all operational registration platforms to ensure consistency and accuracy.
Responsibilities include:
- Coordinate the Pride Toronto Parade and StreetFair. This includes coordinating all logistical elements involved, including but not limited to collecting registrations, vendor management, assigning placements, answering inquiries, volunteer management, trainings, load in/out schedules, invoicing, data management, and planning and execution of the Parade and StreetFair
- Working with other department Managers and/or Directors to learn departmental needs and goals pertaining to logistics and operations for Festival weekend and special events
- Liaise with the Sponsorship team to identify required deliverables and ensure needs are met
- Coordinate with the Programming & Events Manager to ensure operational components are taken into account and coordinate with vendors (security, labourers, waste management, technicians, bar staff etc…) to ensure successful delivery of the event
- Liaise with assigned vendors to ensure planning and execution of events and the festival are smooth, and communication is clear and consistent to all relevant stakeholders and staff
- Coordinate and lead a team of volunteers & operations liaisons to deliver on operational requirements of the portfolio
- Coordinate various signage requirements throughout the festival and special events
- Develop event and operational plans to be submitted for approval. Plans would involve cost analysis, action plans, designs, and workflow
- Develop and lead the coordination of operational vehicles for the festival footprint
- Develop load in/load out schedules as required
- Serves as a primary point of contact when there are issues related to contracts or any service delivery issues during Pride Month, Festival Weekend or events as assigned
- Complete all necessary administrative work as assigned and assist the Senior Director of Operations as directed
- Ensure all municipal, provincial and federal regulations are upheld
- Assist with festival delivery and ensure any assigned tasks are completed in a timely manner
What are we looking for:
- G license or equivalent is an asset
- 3 years events experience with strong improvisation, strategic planning & problem solving skills
- Customer service experience with strong interpersonal & communication skills
- Detail oriented
- Highly organized with excellent time management, prioritization, and multitasking abilities
- G-Suite proficiency especially in Google Sheets/Excel
- Ability to work efficiently as part of a team and individually, as needed
- Ability to resolve problematic situations quickly
- Keen interest and experience with data management software
- Festival and non profit experience is an asset
