Position Overview
The Executive Assistant will play an integral role in helping support the Executive Vice President, Philanthropy and the broader Philanthropy team. You will manage calendars, virtual and in-person meetings, draft communications and provide collaborative support to various departments. Your ability to be proactive and professional will be what donors, leaders and clients see as the Foundation’s brand.
Key Duties and Responsibilities
- Calendar management including proactively identifying and resolving conflicts
- Coordinate and provide end-to-end logistical support of staff, donor and client meetings and activities, including on-site and virtual participation, agendas, meeting materials, and briefings
- Provide support for and take minutes at Board Committee meetings
- Inbox management, including organizing and escalating time-sensitive emails and approvals
- Draft, edit and distribute communications such as reports, contact reports, presentations, information packages, and donor communications
- Initiate and track requests for writing and research
- Support the broader Philanthropy team’s special projects and initiatives as required
- Oversee and complete data-entry, filing and prospect information management on Raiser’s Edge and Digital Edge
- Complete and submit travel and expense reports
- Other administration and coordination support will be required from time-to-time
Qualifications and Competencies
- Minimum five years of senior executive support in a customer-service focused, fast-paced environment
- Commitment to client service excellence in all interactions (including both internal and external stakeholders)
- Strong ability to multi-task while maintaining a high attention to detail, accuracy and work quality
- Ability to embrace change and challenge the status quo to identify opportunities for improvement
- Strong interpersonal skills and comfort supporting and interacting with individuals at all levels of the organization
- Solution-driven with the ability to anticipate challenges, troubleshoot and mitigate risk
- Proven ability to maintain confidential and sensitive information
- Ability to take initiative and work independently with minimal supervision and direction
- Demonstrated proficiency in Microsoft Office suite with ability to learn new technologies and tools quickly
- Knowledge of Raiser’s Edge, SharePoint and Adobe Professional Suite is considered an asset
Total Rewards Package
The hiring range for this position is $75,000-85,000 per year. The salary will be determined based on the successful candidate’s years of experience, qualifications and competencies that are relevant to this position.
In addition to a competitive salary, our total rewards package includes comprehensive health and dental benefits, participation in HOOPP (Healthcare of Ontario Pension Plan), flexible work arrangements with a minimum of two (2) days in office, and learning and growth opportunities.
