The Edwin S.H. Leong Centre for Healthy Children (Leong Centre) is a research centre affiliated with the Department of Pediatrics at The Hospital for Sick Children (SickKids) and the Temerty Faculty of Medicine at the University of Toronto (U of T) with a vision of "harnessing interdisciplinary research to promote the flourishing of every child and family". Reporting to the Research Program Manager, the Research Assistant will support a range of projects within a research program related to child health equity in Canada. This position will provide administrative and operational support for education, training and research activities within the Centre. The successful candidate will be responsible for maintaining professional relationships across SickKids, U of T, external affiliates, and other national and international partners. The Research Assistant will also assist the Community Engagement and Knowledge Mobilization Specialist with the logistics of training and education events, granting, and advisory activities.
In addition, this position supports the Edwin S.H. Leong Chair in Child Policy Research, a Senior Scientist at the SickKids Research Institute and a Professor and Canada Research Chair in Population Health Equity at the Dalla Lana School of Public Health at U of T. Responsibilities will include assisting this scientist with research administrative support needs, as outlined below.
This position is a hybrid role, with weekly on-site work required (including Fridays and monthly in-person events).
Here's What You'll Get To Do
Program Administration (0.6 FTE)
- Schedule, coordinate and set-up meetings, including booking rooms, ordering catering and distributing agendas, using judgment to reschedule according to priorities
- Attend meetings, take minutes and follow-up on action items as required
- Manage and monitor timelines for Centre-funded trainees and researchers to collect activity reports and closing financial statements
- Support logistics and coordination of Centre events, such as partnered lectures, symposia, donor events, international visits, etc.
- Support donor relations and stewardship, working closely with University Advancement at U of T
- Support onboarding and orientation of research staff, volunteers and students
- Support strategic projects of the Centre, such as new initiatives and partnership development through reporting, developing presentations, workflows and other project management tools
Research Administration (0.2 FTE)
- Research Ethics Board (REB): Provide REB support through creating submissions, coordinating internal peer review, keeping track of renewal and expiry dates, follow up on approvals
- Grants Management: Support grant process from submission to award receipt and final report
- Personnel: Support all Human Resources activities
- Finance: Research account reconciliation, budget management, expense reports, process invoices, support payroll, etc.
- Coordinate the above activities through scheduling and team communication tasks
Training, Education and Community Engagement (0.2 FTE)
- Training: Support the trainee program portfolio, including Trainee Hub and Community Engagement Series meeting logistics (i.e. room booking, AV, catering, preparing meeting materials, loading presentation slides, etc.)
- Community Engagement Grant: Manage and monitor timelines for grant recipients to collect activity reports and closing financial statements
- Advisory Committee: Support Community Engagement Advisory Committee with bi-annual meetings, preparing presentations, taking notes, coordinating meeting with committee members, etc.
Here's What You'll Need
- Post-secondary degree in sciences, social sciences or a health-related discipline
- 1-2 years of administrative experience either in a hospital or university setting. A Masters degree in lieu of experience will be considered.
- Proactive and positive attitude, with excellent problem-solving skills
- Exceptional organizational and communication skills with the ability to work independently as well as in a team environment
- Demonstrated high level of judgment and professionalism in interacting with a wide variety of staff members and external partners
- Ability to handle a fast-paced, dynamic work environment with many interruptions and competing priorities
- Proficient with Microsoft Office (Outlook, Microsoft Word, Excel, PowerPoint)
- Experience with recording and transcribing of minutes is an asset
- Demonstrated commitment to the vision of the Leong Centre and to advancing child health equity and organizational equity, diversity and inclusion objectives
