About The Student Financial Services Associate Role
Reporting to the Manager, Student Financial Services, the Student Financial Services Associate communicates with the general public (prospective and current students and guests) as well as the on-campus community. The Student Financial Services Associate (SFSA) must be able to provide a high level of customer service to ensure effective and accurate communication both written and verbally. The SFSA must have strong interpersonal skills in all interactions within their role while maintaining confidentiality. The SFSA must adhere to all policies and procedures while meeting service requirements both internally and externally. The SFSA must be able to use judgment or seek direction when assistance from the coordinator or Manager is required.
The incumbent’s organizational and time management skills are critical to the timely processing of email and phone inquiries regarding OSAP, student housing, and the student records. The SFSA is responsible for supporting the effective and efficient operations of the Student Financial Services department. The incumbent ensures that the integrity of the University is maintained by accurately processing financial services documents including OSAP, awards, and bursaries. The incumbent processes Banner requisitions for Student Financial Services.The SFSA is responsible for maintaining and updating SFS documents, promotional materials and SFS webpages, including maintaining student financial records on ImageNow.
The incumbent is the first point-of-contact for financial services related questions and provides proactive, student-centered, high-quality service in a fast-paced environment. The SFSA connects regularly with students in person, over the telephone and via e-mail, and is responsible for triaging a very high volume of inquiries in an effective matter, referring students to supports and services where appropriate. The incumbent assesses and anticipates student questions and needs, referring them to academic, career, placement, SWAC, and financial advisors through drop-ins, group advising sessions, or other programing. The SFSA participates in team meetings to share information, enhance the quality of SFS services, and to streamline procedures to the benefit of the GH community.
The SFSA is the main event planner for the Annual SFS Awards banquet. The incumbent may also be called upon to represent the University of Guelph-Humber in various recruitment forums on- and off-campus.
Customer Service
Provides efficient customer service on an ongoing basis by assisting customers in all aspects of the OSAP application process and Student Financial Services initiatives.
Including
- Respond to all internal and external enquiries regarding OSAP, Scholarships, Bursaries, Tuition and Fees, Residence Fees and general University information.
- Administer Federal/Provincial programs by interpreting and applying government and institutional policies and procedures to facilitate and ensure proper distribution of funding.
- Deal with upset and/or angry students who may require extra direction in regard to financial, academic or personal counselling.Often dealing with sensitive and confidential issues
- Assist students regarding their outstanding OSAP loans and their repayment responsibilities
- Inform and refer students to the University of Guelph-Humber’s Bursary and Scholarship programs
- Provide general information and refer students to other services within the Office of the Registrar (i.e., Admissions, Academic Advisors and Student Services) and University (Student Wellness and Accessibility, IGNITE and Residence)
- Assist students in the process of obtaining information/supporting documentation from external agencies such as National Student Loans Service Centre, Children’s Aid Society, Collections, other government agencies, etc.
- Review and approve work study applications
- The incumbent schedules appointments and provides administrative support to Student Financial Services and Student Services, as well as providing general coordination of office activities.
- Direct, train, and provide functional guidance to the Departmental work-study position in terms of daily duties assigned that assist the Student Financial Services team. The incumbent will support in the hiring and training process. The incumbent is the main point of contact for the work-study student.
- Direct, train and provide functional guidance to new and contract staff using Image now software.
Process OSAP / Departmental Applications, Including
- Verify, collect, process electronically and file all required supporting documentation
- Download and satisfy all Consent, Declaration and signature pages as well as supporting documents uploaded online by OSAP students
- Maintain ongoing communication with students, parents, staff and external agencies to ensure conformance with OSAP rules and regulations
- Complete documentation as requested by external agencies, such as: National Student Loans Service Centre, financial institutions, daycare subsidy offices, Canada Pension Plan, Canada Scholarship Plan, out of Province student loans and Social Services
- Monitor Student Eligibility for OSAP by:
- Maintain OSAP records with the Ministry of Training, Colleges & Universities and the National Student Loans Service Centre regarding withdrawals, continuation of Interest free status, address changes and personal status changes
Student Finances
- Maintains accurate, up-to-date data on Residence payments including approving residence deferrals
- Review and Approve student deferral payment plans in accordance with institutional and departmental policies
- Request refunds in accordance to institutions and departmental policies
Planning and Organizing
- Oversee general email account( finaid@guelphhumber.ca ) and maintain updated and compelling template email responses, auto replies, filing and organization to ensure all emails are accounted for.
- Organize department events including award ceremonies.
- Responsible for email / call campaigns for outstanding fees, parchment pickups, de-registration, scholarships, residence, etc
- Work with Manager to create and maintain office documents, presentations, and promotional materials
- Monitors and responds to inquiries sent to the general office email address
- Update the Guelph-Humber SFS webpages upon request
Student Award
- Review Student Award applications for accuracy.
- Redacts Award Applications before sending applicable awards are sent to the Student Award Application Adjudicators
- Uploads Student Award Applications to the Image system
Image Now – Document Processing
- The incumbent helps to manage the flow of documentation uploaded into Image now (Image Now is software that allows for the automatic extraction of data from scanned and imported files).
- Direct, train and provide functional guidance to new and contract staff using Image now software.
- The Incumbent must also oversee the efficient management of current student forms and supporting documents in a way that ensures all documents are scanned and uploaded correctly.
- The incumbent is responsible to ensure an efficient electronic workflow process whereby student data moves from Colleague to Image Now, the document imaging system.
- The incumbent is responsible for the transfer of all information and the correction and reconciliation of all associated issues that may occur.

Degree or equivalent in Business or Public Relations
Experience And Skills
- One year of relevant administrative work experience, preferably in a post-secondary customer service, registration or financial services environment.
- Excellent written and verbal communication skills.
- Well-developed interpersonal, listening and customer relations skills.
- Proficient in Windows, MS Office applications/word processing software.
- Excellent telephone and communications skills (able to relate professionally and respectfully to a wide cross-section of people representing diverse backgrounds).
