Position Summary
The Real Estate Specialist serves as the main backup for all tasks managed by the Real Estate leaders. Therefore, they must have strong technical, organizational, and communication skills to effectively contribute and manage multiple simultaneous tasks.
Responsibilities - Deliver outstanding client service both internally at the support center and externally with stores, landlords, and sub-tenants.
- Utilize available lease administration, transaction management, and other web-based tools to coordinate and produce reports using standardized templates, under the direction of Real Estate leaders.
- Organize and lead internal and/or external Transaction Management meetings, guide the team through transaction updates, and manage notes and follow-up actions.
- Assist in preparing ad hoc reports and presentations.
- Oversee Transaction Management.
- Create Market Analysis reports for all deals.
- Prepare negotiation summaries and Deal Summary Sheets.
- Track project timelines and ensure deadlines are met.
- Develop and maintain collaborative workspaces using proprietary and standard tools.
- Support Real Estate Managers in optimizing the use of reporting and management tools.
- Collect and input transaction and portfolio data, ensuring accuracy and completeness.
- Complete transaction closing reports.
- Assist with KPI tracking.
- Process Documents:
- Adapt and format existing process documents to align with business needs.
- Maintain electronic copies of legal files and process documents.
- Track, monitor, and report on all aspects of transactions using various tools
Qualifications
- 1-3 years of experience in a corporate service or real estate support role.
- High School diploma or GED required.
- Bachelor’s Degree preferred, with finance or real estate being ideal.
- Real Estate License in Ontario is a plus.
Skills
- Strong organizational skills with the ability to manage multiple responsibilities and tasks effectively.
- Experience or interest in real estate fundamentals is advantageous.
- Basic understanding of leases and lease terms.
- Capable of working efficiently in a fast-paced, collaborative team environment.
- Proficient in MS Word, Excel, PowerPoint, and Outlook.
- Demonstrated ability to quickly learn and master new software applications
