The AP/AR Specialist plays a crucial role in managing our financial transactions, ensuring timely processing of invoices, maintaining accurate records, tracking payments and ensuring timely collection of outstanding balances. This position will report to the Accounts Receivable Manager.
Responsibilities
- Review carrier and customer invoices for accuracy and process for payment.
- Manage team email box and respond timely to enquires.
- Work with sales team members to ensure all paperwork has been completed to invoice customers and carriers.
- Process accounts and incoming payments in compliance with financial policies and procedures.
- Perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables’ data.
- Prepare bank deposits.
- Verify discrepancies and resolve clients’ billing issues.
- Verify payment remittances
- Process credit card payments
- Contact Brokers regarding payment variances
- Process any credit/debit adjustment on loads
- Help Brokers with current AR Payments processes
- Scan cash letters that are delivered to the corporate office
- Resolve short pays or any unanswered unapplied credit
- Handle additional duties as needed
- Review collections report and send overdue notices to customers
- Ad hoc projects and other duties as assigned.
Requirements
- Highschool Diploma or equivalent.
- Experience working in an office environment.
- Proficient in Microsoft Office Suite, specifically Excel.
- Excellent organizational skills and attention to detail.
- Ability to maintain confidential and meticulous records.
- Familiar with accounting software.
