Executive Assistant Job Description
Groundwork is seeking an Executive Assistant. Working directly with our Founder and her partner, the Executive Assistant will help move key projects forward as well as take care of daily tasks and client relationships.
Because we are both entrepreneurs, we need self-driven, independent people, who also work well with others. We manage projects and tasks using the Groundwork System and a small tech stack, so a general ease with learning new softwares is essential.
Working closely with the Founder and her partner, the Executive Assistant acts as the representative of the Founder and partner and collaborates closely with them. The Executive Assistant is responsible for helping the Founder and her partner execute their work.

Position Overview
Role & Responsibilities
- Manages external and internal communications
- Manages the Founder’s schedule based on priorities
- Helps manage and host events, retreats and team trainings
- Manages projects and builds processes
- Completes daily administrative tasks: invoicing, ordering supplies, tracking revenue, corresponding and scheduling
Compensation
- $32 per hour at 10-15 hours per week to start, with the opportunity to grow rapidly

Skills Requirements
Groundwork’s Executive Assistant is responsible for managing and executing key projects, external and internal communications, event management and daily administrative tasks. The ideal candidate is energetic, warm and quick. They have an entrepreneurial spirit, not afraid of tackling unknowns and skilled at figuring things out as they go.
Requirements
- Experienced in event planning and management, enjoys hosting
- Professional and warm demeanor
- Can be flexible with the changing needs of the Founder and her partner
- Ability to balance short term and long term priorities
- Critical thinking with professional literacy and strong administrative skills
- Problem-solver, using data and consultation to solve problems
- Self-learner with an appetite for the unknown – flexing your Google skills in a pinch to get caught up to speed and keep the ball rolling
- Familiarity with Google Workspace, and other apps like Xero, Kajabi and Todoist would be valuable
- Lives in Vancouver and able to do some travel locally with advance notice
