Role Title
Policy Contract Packaging Administrator (12 Month Contract)
Purpose of role
Policy Contract Administrator is responsible for the management of both paper and e-policy contracts once new business applications are approved and issued. The contracts are legal and binding document and require quality review to ensure the proper issuance according to underwriting decision, product specifications, applicable laws, regulations and Forester’s policies and standards. Ensure all pages and supporting documents required are handled accurately and efficiently to meet privacy guidelines, service, and quality standards.
Job Description
Key Responsibilities
- Review various systems and applications for instructions, notes and requirements as noted by Case Management and/or Underwriting team
- Print, where necessary, policy contract and any additional documents that may or may not require creation (amendments, endorsements, policy summary, reissue, etc.) within the pre-established turnaround times
- Examine each file received to ensure contracts have been issued accordingly, capturing any required documentation deemed necessary by the Underwriter and/or the Case Manager.
- Ensure all required applications, and supporting documents are retrieved and assembled accurately to avoid any privacy incidents.
- Review application information for accuracy and completeness to ensure that any changes/corrections have been properly reflected in the new contract package via a contract amendment or endorsement.
- Verify that the contract is issued in accordance with applicable laws, regulations, and Forester’s policies and standards.
- Responsible for identifying, recording and reporting contract discrepancies and errors and then taking appropriate action or if specific scenarios, reach out to Case Manager to re-issue.
- Assemble the policy contract accord to Forester’s policies and bind or prepare for e-policy delivery.
- Send ePolicies via secure email to the appropriate parties in accordance with policies and standards and review to ensure correct email addresses have been used.
- With paper contracts, where necessary, provide the MGA/Advisor’s mailing address for the distribution of completed contract packages based on contracting/licensing preferences.
- Document and report on daily volumes.
- Escalate any issues related to system issues and contracts output.
- Perform a final review of all applications, supplemental forms, agents & MGA set up for completeness and accuracy
- Manage all pending issues to meet or exceed production targets
- Identify and communicate any operational efficiencies to enhance the service experience to Members and Advisors
- Other duties as required
Key Qualifications
- Post-Secondary education or equivalent work experience
- Enthusiastic team player with a positive attitude
- Ability to multi-task in a fast paced, high volume, tight deadline work environment
- Life Insurance experience is a must
- Highly organized and efficient
- Attention to detailed and accuracy
- Ability to work independently on a repetitive task and maintain high motivation
- Excellent verbal & written communication skills
- Excellent customer service skills
- Proficient use of Microsoft Office applications (Word, Excel, Outlook).
- LOMA designation an asset
