Position: Financial Administrative Assistant
Location: Sueland Moving & Storage Inc.
Start Date: October 14, 2024 (flexible)
Type: Full-time | 8am – 4pm (Hours subject to change)
Hourly Rate: $18 - $24 (based on experience)

Key Responsibilities:
Administrative Duties & Client Services
•Be the first point of contact for customer inquiries, ensuring timely follow-ups and scheduling job walkthroughs.
•Prepare and send estimates to clients, coordinating with teams to ensure project details are communicated clearly.
•Keep work orders, job progress, and inventory records up to date using Excel and internal databases.
•Collaborate with warehouse staff to maintain inventory of client items and rental supplies.
•Ensure WSIB compliance paperwork is completed for various projects.
Accounts Payable
•Manage payroll timesheets and vendor payments efficiently.
•Collect and track receipts for all expenses, including gas, supplies, and disposal.
•Handle vendor relationships, create RFQs, and assist with research for larger projects.
•Generate project cost summaries and manage the company’s pricing charts.
Accounts Receivable
•Generate, approve, and send client invoices for various services (moves, installations, rentals, etc.).
•Monitor outstanding payments, ensuring timely follow-up with clients.
•Prepare financial reports (invoice summaries, aging reports, etc.) using QuickBooks.
•Assist with monthly reconciliations and support the year-end audit process.
Sales Outreach
•Explore new advertising opportunities to promote our services (e.g., Golf Scorecards, corporate advertising).
•Build partnerships with senior living communities, real estate brokers, and other organizations to drive business growth.
•Assist in drafting proposals for prospective business collaborations.
Skills and Qualifications:
•Education: College/university degree or diploma.
•Experience: Minimum 1 year in an administrative or office role. Experience in a warehouse environment is a plus!
•Technical Skills: Proficient in Excel, Word, and Outlook. Experience with Google Sheets and QuickBooks is a bonus.
•Communication: Excellent verbal and written communication skills with a client-centric approach.
•Organizational Skills: Ability to manage multiple tasks, maintain accurate records, and work under pressure.
