Front Office Receptionist cum Immigration Case Worker
Location: In-Person (Canada)
Work Hours: 9:30 AM – 5:30 PM (Monday to Friday)
Compensation: C$18 – C$20 per hour (based on experience)
We are hiring a motivated and organized Front Office Receptionist cum Immigration Case Worker to join our team. This role is ideal for someone who thrives in a dynamic office environment and is skilled in handling both front office tasks and immigration casework. Key Responsibilities:
Phone and Switchboard Management: Answer and route calls efficiently using a switchboard, ensuring prompt and professional responses.
Telephone Reception: Greet clients over the phone with professionalism and clarity, addressing inquiries and scheduling appointments.
Client Reception: Welcome visitors, manage reservations, and create a warm and welcoming atmosphere at the front desk.
Immigration Case Support: Assist with immigration casework by preparing documents, collecting client information, and maintaining accurate case files.
Multitasking: Balance front office duties with casework responsibilities, ensuring all tasks are completed in a timely manner.
Office Organization: Manage office supplies, filing systems, and ensure smooth day-to-day operations.
Administrative Support: Provide general administrative support to the legal team and ensure compliance with office protocols.
Required Skills:
Phone Etiquette: Ability to handle multiple calls and inquiries with professionalism and care.
Switchboard and Telephone Reception: Experience with switchboard systems and managing phone lines in a busy office setting.
Skilled Multi-tasker: Proven ability to manage various tasks, including front office duties and casework, without compromising on quality.
Reservations: Efficient scheduling of appointments and management of office calendars.
Organization Skills: Strong attention to detail and excellent organizational capabilities to manage documents and case files.
Communication: Clear and effective communication, both written and verbal, with clients and staff.
Interpersonal Skills: Professional and approachable demeanor when interacting with clients and colleagues.
Office Equipment: Familiarity with office equipment, including computers and printers.
Receptionist Duties: Experience in handling reception tasks such as greeting clients, managing front desk operations, and handling inquiries.
Qualifications:
Must have legal authorization to work in Canada (e.g., valid work permit, permanent resident status)
Prior experience in front office roles, particularly in a legal or immigration setting, is an asset
Proficiency in using office software (e.g., Google Workspace) and managing case-related documents
