Administrative Assistant with Corporate and/or Securities law exposure
Reporting to the Corporate Administrator and client CFO
We are seeking a motivated and detail-oriented Legal Administrative Assistant or Executive Assistant with Public Company Experience who possesses a strong desire to grow into managing a client portfolio. This role offers an excellent opportunity to gain experience in the Company’s corporate administrative operations while progressively developing the skills and relationships necessary to eventually manage your own client portfolio.
As part of a dynamic team, you will play a key role in supporting the day-to-day operations while working closely with the Corporate Administrator to gain exposure to client-facing tasks. With dedication and success in your administrative duties, there will be opportunities for advancement into roles with more client interaction and business development.
Our ideal candidate is self-driven, highly organized, and possesses exceptional writing, proofreading, and time management skills. They excel in interpersonal communication, can work independently while following instructions with minimal supervision, and are unafraid to seek clarification when needed.
- Draft and format various legal documents including resolutions, reporting forms, letters and agreements and assist with creation of template precedents;
- Maintain Client Minute Books and related documentation (Directors’ Resolutions, BC Registry, Annual Reports, Change in Directors, bank documentation, etc.);
- Maintain Board of Directors calendars and take meeting minutes;
- Circulate documents for electronic signatures using AdobeSign or another software with exceptional attention to detail, and following-up accordingly;
- Assist with coordination of client annual general meetings, including scheduling, materials, and filings;
- Maintain databases and electronic filing systems for client information and records;
- Draft and assist with filing regulatory documents (Sedar+, TSX-V and CSE);
- Support with private placement administration for clients;
- Support with coordination of filing of client news releases; and
- Liaise with clients and key business partners, including bankers, transfer agents and lawyers.
Other duties:
- Evaluate, develop, implement and document improvements to procedures and systems to maximize efficiency and quality for the team;
- Assist with special projects and other duties, as assigned by management; and
- Leveraging your exceptional organizational skills, keen attention to detail, and sharp critical thinking.
Salary range - $60,000 - $75,000 dependent on experience
