Position Summary
The Thoracic Aortic Surgery Clinic (TASC) supports patients with significant aneurysms who may require surgery in the months and years to come. Patients with both proximal and distal aortic disease are seen by the interprofessional (IP) team that consists of Cardiovascular & Vascular surgeons, radiologists, a nurse practitioner and research coordinators. We provide medical and surgical management, as well as longitudinal follow-up.
The Administrative Assistant will work closely with the IP team & will act as the first point of contact within TASC. The scheduler will also be responsible to facilitate the patient journey from referral, to post operative long-term follow up. This will involve acting as an advocate and liaison for patients.
Duties
- Reviews referral packages for completeness
- Ensure all required medical information is provided as requested by the IP team, these may include lab work, diagnostic tests, and imaging
- Transmits necessary test results and medical information to patients, physicians and others and follows up for missing information
- Answers and makes telephone calls, identifies emergency messages, directs information to the appropriate personnel, and maintains patient privacy and confidentiality
- Maintains current computerized waiting list for referrals and follow up clinic visits, and generates reliable reports on an as needed basis
- Books imaging indicated and schedules patients into clinic at the direction of the IP team and sends referrals to other specialty clinics as needed
- Performs clerical duties such as telephone and email communication, uploading imaging, faxing, filling, and other related clerical duties to ensure team functions effectively
- Organizes monthly multidisciplinary aortic rounds for group discussion of complex cases
- For patients going for surgery, organizes preoperative tests and procedures as well as facilitates communication and scheduling between the multiple team members involved in these cases
- Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards
- Promote and maintain a positive and calming working relationship with team members and a healthy work environment
- Participates in continuous quality improvement activities within University Health Network to enrich and advance processes through the effective use of resources and systems to deliver optimal patient care
Qualifications
- Grade XII (12) or equivalent
- Completion of recognized medical office administration program at the diploma level or equivalent
- Completion of a medical terminology course or knowledge of medical terminology, preferred
- Two (2) years related medical secretarial experience
- Excellent on-the-job computer/word-processing, database and spreadsheet software experience required; experience in a Microsoft Office environment
- Experience working in a health care environment, an asset
- Experience working in an outpatient setting & with Cardiovascular &/or vascular patients, an asset
- Demonstrated ability towards team building and collaboration
- Effective organizational, interpersonal, and communication skills
- Client service oriented, with the ability to effectively work with diversity and appreciate that people with different opinions, backgrounds and characteristics bring richness to the challenge or situation at hand
- Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines in accordance to UHN standards and department policies and procedures
- Exercise initiative and good judgment with ability to multi-task
- Excellent decision making and problem solving skills
