JOB SUMMARY
Maintain the regular accounting duties for payables within Quattro Constructors, including acquiring and processing invoices, assisting in the reconciliation of accounts, and paying or receiving payment from vendors, subcontractors, and Clients. This position will report to the Project Controls Manager, and work closely with the Accounting team, management, and business partners. Success in this role will be demonstrated through accurate payment and financial transaction processing.
ESSENTIAL SKILLS AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily:
- Complete payments and control expenses by receiving, processing, verifying, recording accounts payable data, and reconciling invoices;
- Track company invoice obligations, make accurate and timely invoice payments, gain approval where necessary, and identify and report inaccuracies and variances;
- Reconcile and verify all company invoices and monthly statements to ensure all bills and payments are accounted for and properly posted, assign payments to applicable projects and cost codes;
- Make and track appropriate sales and use tax payments on invoices as needed;
- Reconcile processed work by verifying entries and comparing system reports to balances;
- Generate reports detailing accounts payable status;
- Reimburse Employees and reconcile Employees’ corporate credit cards by receiving and verifying expense reports using company-specific accounting software;
- Verify vendor accounts by reconciling monthly statements and related transactions;
- Work with external vendors to resolve any invoice problems or inaccuracies;
- Maintain historical records of all invoices, reports, receipts, and cheques by saving documents properly on the network;
- Confirm subcontractor billed working hours, bonuses, and projects;
- Process outgoing payments in compliance with financial policies and procedures and ensure all accounts payable processes meet applicable compliance guidelines and financial standards;
- Collaborate within the Project Controls and Accounting Teams;
- Assist with corporate audit and other financial reporting requirements as needed;
- Perform additional assignments per Management’s direction.
RECOMMENDED MINIMUM QUALIFICATIONS
The requirements listed below are representative of the knowledge, skill, and/or ability required:
Education and/or Experience
- Bachelor's Degree in a related field from an accredited institution in Accounting, Finance, Business Administration or related field or 2-years of related corporate finance experience and/or training; and
- Proven working experience as Accounts Payable Clerk or related role in Accounts Payable and Accounting.
Certifications and/or Licensing Requirements
- Required Company or Regulatory Certifications; and
- Required Company Safety Certifications.
KNOWLEDGE, SKILLS, AND ABILITIES
KNOWLEDGE
- Excellent knowledge and understanding of basic accounting concepts, bookkeeping, accounts payable, and budgeting principles;
- Understanding of tax obligations and reporting requirements for payables;
- Experience with financial transaction reporting; and
- Hands-on experience with spreadsheets and proprietary software.
SKILLS
- Data entry skills along with a knack for numbers;
- Excellent interpersonal, verbal and written communication skills;
- Advanced computer skills, including Microsoft Office suite, Adobe, and cloud-based technology;
- High degree of organizational skills, time management, and attention to detail; and
- Good problem-solving skills.

- Ability to use enterprise-level financial record-keeping software systems, spreadsheets, and email applications;
- Strong quantitative and analytical ability;
- Proven ability to calculate, post and manage accounting figures and financial records;

- Ability to complete a high volume of work within deadlines.

SALARY
