Job Description
Reporting to the Director Human Services Integration, the Support Assistant B will be part of the administrative team to provide support to the management team.
Primary responsibilities will be administrative support, report development, project plan updates and purchasing.
Major Responsibilities
- Performs varied administrative tasks involving the preparation, research, summary and reconciliation of data and the control and expedition of documents, data, revenues and cash.
- Prepares and processes documents/statistical summaries/reports etc.
- Assesses and analyses data and drafts and signs correspondence.
- Checks work for accuracy and conformity with regulations, policy and procedures and corrects/resolves outstanding/incorrect items.
- Identifies issues and recommends solutions. Performs complex calculations.
- Directs, coordinates, schedules and trains assigned staff and checks/verifies work of assigned staff.
- Operates office equipment and computers utilizing a variety of software packages, applying speed and skill.
- Prepares presentation material while utilizing detailed layout and formatting.
- Co-ordinates and maintains a complex record/retrieval system and maintains supplies inventories.
- Responds to e-mails, telephone and in-person inquiries from senior staff, the public, agencies and other levels of government utilizing in-depth knowledge of procedures, regulations and criteria.
- Reviews, accepts or rejects material/applications from the public, ensuring all criteria have been met.
- Receives and pays out cash and cheques, controls, monitors and balances petty cash, prepares bank deposits, withdrawals, reconciliations and processes/checks financial payments.
- Assists with budget administration for unit.
- Co-ordinates meetings, events and schedules and takes/transcribes minutes.
Key Qualifications
Your application must describe your qualifications as they relate to:
- Considerable experience performing clerical and administrative duties including purchasing for a unit/division.
- Considerable experience using various software packages including Microsoft Office software (i.e., MS Outlook, Word, Excel, PowerPoint and Access), SAP.
- Considerable experience creating and formatting large and complex documents, reports, charts, spreadsheets, presentations, contact and document logs and databases.
- Experience transcribing minutes from meetings that take place in person and/or online.
- Experience in documenting and updating project plans, to support the management of multiple workflows with a large number of clients.
You Must Also Have
- Excellent verbal and written communication skills, with the ability to deal effectively with all levels of staff, senior management, councillors and the public, in person, by telephone and in writing.
- Excellent organizational, analytical and problem-solving skills.
- Ability to utilize other software packages relevant to supporting the Division’s core requirements.
- Ability to multi-task, assess priorities, work within tight time constraints and meet deadlines.
- Ability to work both cooperatively within a team and independently.
- Ability to exercise independent judgement and discretion in dealing with confidential and sensitive information while providing excellent customer service at all times.
- Ability to apply general statistical techniques and practices, making involved calculations accurately.
